Job Summary |
The Auburn University Bookstore
is seeking applications for the position of Coordinator, Business/Admin Services or "Bookstore Office Coordinator". This position provides financial and administrative support within the Bookstore to consolidate financial and business operations from various internal departments. Manages office operations, personnel, and workflow at the main office of the AU Bookstore. Ensures proficient office operations through continuous cross-training of staff and streamlining processes and procedures. Assists with the financial tracking of merchandise for resale from receipt through payment.

Essential Functions |
- Compile and report daily sales data for all relevant accounts, ensuring accuracy and completeness before reporting to stakeholders.
- Perform regular reconciliations of financial accounts, identifying and resolving discrepancies to maintain accurate financial records.
- Oversee cash handling operations for Bookstore registers and safe.
- Identify and rectify transaction errors at the point of sale or within the ERP system to maintain accurate financial records.
- Create and process journal vouchers to correct accounting entries, ensuring accuracy and compliance with accounting standards.
- Verify and reconcile credit card transactions, ensuring that all transactions are accurately recorded and any discrepancies are resolved.
- Respond to customer inquiries and provide assistance over the phone, ensuring a high level of customer satisfaction.
- Identify and address operational issues in the front-of-house area, working with relevant team members to implement effective solutions.

- Knowledge of RATEX, Oracle, Banner, Excel, Microsoft Suites, standard office equipment. Understanding of bookstore computers & POS systems; and mainframe systems.
- Knowledge of University and Bookstore policies & procedure.
- Knowledge of laws & regulations regarding accounting procedures & licensing of products; state purchasing guidelines; general retail practices; and understanding of human resources.
- Experience in retail point-of-sale systems.
