Summary: The Administrative Assistant / Project Management will perform Special project management, organization coordination, and public relations management are crucial to effective staff coordination, enabling the separate branch chiefs of the G-1 office to produce a unified staff product to the G1 and support senior headquarters staff. Project Management includes experience with Microsoft Office software and extensive social media functions on behalf of G1.
Responsibilities
Essential Job Functions:
- Manage and synchronize calendars to support G-1 readiness events, ensuring accurate scheduling and conflict resolution.
- Coordinate and support state-wide conferences, transition events, promotions, and Soldier Readiness Program (SRP) events, providing documentation and reports in a timely manner.
- Compile, update, and distribute weekly presentations, ensuring professional standards.
- Conduct statistical analysis and summarize qualitative and quantitative data for decision-making, submitting reports with high accuracy.
- Prepare, edit, and manage correspondence, forms, and reports while tracking and prioritizing time-sensitive events.
- Maintain administrative records in compliance with DoD standards and manage data entry and retrieval tasks efficiently.
- Develop, implement, and oversee social media strategies to enhance engagement and brand awareness.
- Manage content creation, monitor engagement, analyze performance metrics, and provide recommendations for optimization.
- Coordinate conference calls, facilitate communication between headquarters and subordinate units, and handle inquiries professionally.
- Support mobilization efforts, including travel arrangements and logistics for G-1 operations.
- Ensure office space is maintained professionally and oversee compliance with appearance and operational standards.
- Manage organizational assessments and provide quarterly progress reports.
Qualifications
Necessary Skills and Knowledge:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
- Strong ability to compile, analyze, and present data in reports, charts, and presentations.
- Strong multitasking skills to manage multiple projects while meeting deadlines and compliance standards.
Minimum Qualifications:
- High school diploma or equivalent required.
- Minimum of 3 years of experience in administrative support, project coordination, or event management.
- Experience organizing conferences, transition events, and readiness programs, ensuring timely execution and documentation.
- Must obtain a CAC.
- Must have a valid Secret security clearance (or higher) or be able to obtain one.
- Occasional service is required after hours and on weekends.
- Frequent travel for attending training, conducting training, delivering briefings, observing field operations, and attending conferences is required and reimbursable with COR approval.
Preferred Qualifications:
- Associate or bachelor's degree preferred.
- Prior experience working in a military environment is highly desirable.
