Summary:

The Administrative Assistant / MEDOPS Program Management shall perform services co-located with clinical operations at Clay National Guard Center (CNGC) in Marietta and Fort Stewart. The contractor shall maintain 100% compliance with all site-specific protocols and operational requirements. The purpose of this requirement is to provide program readiness support for Soldier Readiness Processing (SRP).


Responsibilities

Essential Job Functions:

  • Shall oversee non-clinical medical operations throughout Georgia, including CNGC, Fort Stewart, and Macon.
  • The contractor shall submit care plans for Soldiers identified with medical conditions.
  • The contractor shall submit a staffing plan for each Medical Readiness Event to the COR.
  • The contractor shall complete the credentialing process for all GA Military Providers in accordance with AR 40-68 Clinical Quality Management and the C2P2 Board.
  • The contractor shall provide weekly updates to the COR on the credentialing process and submit quarterly reports identifying the status of all providers.
  • The contractor shall establish and maintain communication with credentialing personnel at various MTFs to ensure quality control of the credentialing process.
  • The contractor shall consolidate and submit weekly medical readiness data, including medical and dental readiness categories, to the COR.
  • The contractor shall facilitate monthly meetings with the COR to discuss the management of medical cases.
  • The contractor shall track all MRC 3 Soldiers, including DL codes, and all MRC 4 Soldiers, using a case tracker report.
  • The contractor shall manage check-in/check-out processes, maintain a roster of all scheduled Soldiers, perform MEDPROS data entry, and manage cases for medical readiness events.
  • The contractor shall run monthly projected (90 days out) MRC 4 rosters using the Commanders Portal medical database and coordinate with units to schedule Soldiers for events.
  • The contractor shall maintain a roster of all Soldiers scheduled for medical readiness events and ensure IMR data from MEDPROS is updated and printed for all locations.
  • The contractor shall enter medical requirements into the Medical Operational Data System (MODS) and prepare pre- and post-event status reports, including entry and exit MRC data.
  • The contractor shall pull reports from automated systems such as MEDCHART, eProfile, eCase, MRR, DENCLASS, and AVS to ensure all referrals are documented.
  • The contractor shall input and monitor MEDPROS data for all medical requirements, ensuring scheduled services are completed and updated.
  • The contractor shall provide a report of any abnormal lab values obtained during PHA events to the DSS

Qualifications

Necessary Skills and Knowledge:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills for coordinating with military personnel, medical providers, and leadership.
  • Ability to prepare reports, briefings, and professional correspondence with accuracy and attention to detail.
  • Strong customer service skills.
  • Proven ability to track, prioritize, and manage multiple time-sensitive tasks.

Minimum Qualifications:

  • High school diploma or equivalent required.
  • Minimum of 3 years of experience in administrative support, program coordination, or medical operations support, preferably in a military or healthcare environment.
  • Must obtain a CAC.
  • Must have a valid Secret security clearance (or higher) or be able to obtain one.
  • Occasional service is required after hours and on weekends.
  • Frequent travel for attending training, conducting training, delivering briefings, observing field operations, and attending conferences is required and reimbursable with COR approval.

Preferred Qualifications:

  • Associate or bachelor's degree preferred.
  • Prior experience working in a military environment is highly desirable.
