Primary Purpose

The HR Workforce Planning Coordinator is responsible for providing high level day-to-day support to Workforce Planning staff by assisting with the organizations ongoing supplemental staffing needs and initiatives. This position works in a highly collaborative manner with multiple HR Partners in support of staffing efforts to meet the needs of internal hiring managers and ultimately our patients.

Minimum Specifications

Education

  • Bachelor's degree required.

Experience

  • Three (3) years' experience building effective relationships, process alignment and facilitation, scheduling interviews, meetings, and events in a professional, fast-paced office environment required.
  • Staffing/recruiting environments desired.
  • Experience utilizing MS Office and other technologies (Applicant Tracking Systems, PeopleSoft, SuccessFactors, etc.).
  • Advanced Excel skills required; accountable for building and maintaining data/metrics reports related to new hire processing.
  • Peer leadership, mentoring and training experience highly desired.
  • Prior experience scheduling and maintaining MS Outlook calendar events; ensuring positive onboarding experience for candidates.
  • Previous Medical (Healthcare and/or Hospital) experience desired.

  • Maintains knowledge of Parkland policy and procedures, federal and state laws regarding employment practices and provide updates to Talent Acquisition, HR Staff, and department leadership.

  • Able to manage competing demands, accept criticism and constructive feedback, while being adaptable and flexible.
  • Ability to handle sensitive and confidential information appropriately.

  • Familiar with PeopleSoft and Success Factors Talent Acquisition/Management solution.

  • Good organizational and decision-making skills, and attention to detail.
  • Intermediate computer skills to include knowledge of Microsoft Office applications and the use of e-mail.

Responsibilities

Workforce Planning

  • Accountable for developing, scheduling, preparing meetings, events, and appointments, including high volume, complex candidate interview scheduling (along with travel and accommodations) as assigned.
  • Partner with leaders and colleagues to ensure a high level of service and communication.
  • If applicable, accountable for timely scheduling, communication, and completion of the following candidate stages in the recruiting process such as the occupational health screening scheduling, background checks, reference checks, and new hire communication
  • As directed, monitor quality control initiatives related to offer acceptance documentation, start/transfer dates, pay structure, licensure/certification/registry documentation, and Jail health clearance documentation (for Correctional Health employees).
  • Verify accuracy of HRIS requests, entries, and updates. Manage data and provide reports for employee referrals, sign-on bonuses, and relocation costs as directed.
  • Accurately maintain data and upon request, provide daily or weekly reports, pre-employment process metrics, new hire orientation participation, and documentation in a timely manner.
  • Identify opportunities for improving operations and processes.
  • Coordinate complex workforce planning tasks for employee and/or temporary positions.
  • Evaluate and process position requests.
  • Assess, analyze, and seek detail in order to complete simple to complex tasks efficiently and accurately.
  • Actively participates in the workforce planning/position lifecycle process to complete workflows timely and accurately.
  • Ensures work is carried out in compliance with regulatory and/or accreditation standards as well as contractual requirements.

Job Accountabilities

  1. Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements, and monitors results as appropriate in support of the overall goals of the department and Parkland.
  2. Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure. Integrates knowledge gained into current work practices.
  3. Maintains knowledge of applicable rules, regulations, policies, laws, and guidelines that impact the area. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state, and private health plans. Seeks advice and guidance as needed to ensure proper understanding.
