Job Title: CMMS Administrator/Planner Location: Whitesboro, NY Department: Maintenance Department Reports To: Facilities and Maintenance Manager Employment Type: Full Time Schedule: 7:00AM-4:00PM Monday-Friday Job Summary We are seeking a detail-oriented and organized CMMS Administrator/Work Planner to assist in the development and then oversee the management and maintenance of the Computerized Maintenance Management System (CMMS) and to ensure effective scheduling and planning of work activities. This role combines technical expertise in CMMS software with strong coordination and communication skills to optimize maintenance scheduling, enhance equipment reliability, and improve operational efficiency. Key Responsibilities: CMMS Implementation and Management:
- Work directly with the Facility and Maintenance Manager on the design, configuration, and deployment of the CMMS program tailored to the organization's operational needs.
- Develop and manage system workflows, user roles, and permissions to ensure system meets operational needs and compliance.
System Maintenance and Optimization:
- Perform regular system updates, maintenance, and troubleshooting to ensure optimal performance.
- Identify and implement system enhancements as needed to improve user experience and operational efficiency.
Data Management:
- Oversee the accurate entry and maintenance of asset data, preventive maintenance schedules, and inventory within the CMMS.
- Establish data quality standards and perform regular audits to maintain data integrity.
Reporting and Analytics:
- Develop and distribute custom reports and dashboards to track key performance indicators (KPIs) such as equipment uptime, maintenance costs, and work order completion rates.
- Analyze data trends to recommend improvements in maintenance and operational strategies.
Collaboration:
- Partner with maintenance, operations, engineering and IT teams to identify system requirements and ensure alignment with business objectives.
- Work with vendors to address system issues, implement updates, and manage licensing agreements.
User Support and Training:
- Provide technical support and training to CMMS users, including technicians, supervisors, and management.
- Act as the primary point of contact for CMMS-related inquiries and troubleshooting.
- Create and maintain user guides, training materials, and process documentation.
Process Improvement:
- Identify opportunities to optimize maintenance workflows using CMMS.
- Collaborate with maintenance, operations, and IT teams to streamline processes and improve system functionality.
- Stay up to date with CMMS software enhancements and industry best practices.
Compliance and Documentation:
- Ensure all maintenance activities logged in the CMMS comply with safety, regulatory, and company standards and policies.
- Maintain accurate records of inspections, repairs, and maintenance schedules for audits.
Work Planning and Scheduling:
- Plan and schedule maintenance work activities, ensuring efficient resource allocation (labor, materials, and tools).
- Prioritize and assign work orders based on equipment criticality, urgency, and available resources.
- Collaborate with maintenance technicians, engineers, and operations staff to coordinate downtime and ensure minimal disruption to production.
- Monitor work progress, track completion, and update the CMMS to reflect current status.
- Create and maintain detailed maintenance job plans, including safety notices and requirements, step-by-step instructions, required tools, and parts lists.
Inventory and Procurement Support:
- Ensure that spare parts inventory levels in the CMMS are accurate and align with maintenance requirements.
- Coordinate with parts inventory team and procurement to source and order required parts and materials.
- Track inventory usage and establish requirements to ensure parts are readily available at all times.
Qualifications: Required:
- Bachelor's degree in a related field (e.g., Information Systems, Maintenance, Engineering) or equivalent work experience.
- Proficiency with CMMS software (e.g., Micromain, SAP PM, Maximo, eMaint, or similar).
- Strong understanding of maintenance operations, workflows, and preventive maintenance practices.
- Excellent analytical, problem-solving, and organizational skills.
- Proficiency in Microsoft Office Suite, especially Excel.
Preferred:
- Experience in asset management or maintenance planning in manufacturing, facilities management, or utilities.
- Knowledge of SQL or database management.
- Familiarity with reliability-centered maintenance (RCM) practices.
- Strong communication skills for collaborating across departments and training users.
Work Environment
- This position may require occasional site visits to facilities, equipment, or production areas.
- Standard office hours with flexibility for second and third shift training and support, off-hour maintenance needs or emergency situations.

In compliance with pay transparency requirements, the salary range for this role is $80,000- $90,000. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience, education, and geographic location.
