Overview

Illinois CancerCare is seeking a full-time Scheduler to work at the Bloomington clinic. The Scheduler checks out patients after the clinic visit, schedules follow-up appointments, tests, and scans. The Scheduler also collect co-pays, conducts some pre-authorizations and answers phones. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

Pay Range: $16.00 - $25.00 per hour

Responsibilities

  • Schedule appointments for follow-up office visits, scans, laboratory tests, procedures and some referrals to outside offices.
  • Schedule treatment chairs for treatment patients that also are seeing a provider following the guidelines to schedule in the appropriate location and times.
  • Coordinate with patient all scheduled appointments. Communicate to patient instructions for tests.
  • Perform select billing functions such as but not limited to: collecting co-pays and co-insurances and code capturing the patient's office visit.
  • Confirm lab and imaging diagnostic codes and enter in EMR. Coordinate with provider and correct if necessary.
  • Call outside facilities to schedule some scans and outside procedures. Records in the EMR and communicate and confirm to patient and patient care team.
  • Place all OSF and UPH orders into ELINK
  • Follow up on outside imaging QCL's
  • Follow up on all 6 month and greater QCL's; schedule follow up appointments and any diagnostic testing.
  • Count the petty cash box daily
  • Run the variance report every night before you leave.
  • Reschedule missed or changed appointment times, communicate and confirm rescheduled time to patient and record in EMR in accordance with standard policy and procedures.
  • Coordinate with the Administrative Assistant to ensure all consult, vacation and on-call schedules are accurate and up to date.
  • Manage your scheduling team providers schedules
  • Complete all team Mosaiq mail messages and voicemails by the end of each day.
  • Perform any New Patient Scheduler duties as needed or assigned
  • May be required to provide cross-coverage for Medical Office Assistant.
  • Adherence to the ILCC employee handbook, HIPAA policies and ILCC code of conduct.
  • Performs clinical and clerical related responsibilities as requested or directed.
  • Travel to satellite clinic locations as needed.

Essential Duties for New Patient Scheduler:

  • Call patient and schedule new patient appointment and returning patients with a new or recurring diagnosis within 3-5 days with the appropriate specialty physician.
  • Maintain positive relationships with staff for all specialty clinics supported by ILCC internal & external to the practice that NPT scheduling processes are performed.
  • Communicate all appointment details to the referring provider.
  • Document in the EMR that patient is aware of scheduled appointment and that referring office is aware of scheduled appointment.
  • Maintain the New Patient Log.
  • Update and demographic information (email and attending MD) in Unlimited Financials.
  • Communicate with NPT intake.
  • Perform any Team Scheduler duties as needed or assigned
  • Adherence to the ILCC employee handbook, HIPAA policies and ILCC code of conduct.

SPECIAL PHYSICAL REQUIREMENTS

  • Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination.
  • Requires sitting at desk for extensive periods of time.
  • Occasionally lifts and carries items weighing up to 25 pounds.
  • Requires working under stressful conditions or working irregular hours.
  • Requires some exposure to communicable diseases or bodily fluids.
  • Requires frequent bending, reaching, squatting, stooping.

  • The employee has limited exposure to toxic substance and is expected to be familiar with the dangers and proper handling of such.
  • The employee is exposed to communicable diseases and other conditions common to the clinical environment.
  • Safety policies and good health practices are to be understood and observed.
  • Work is performed in an office environment with frequent contact with staff and patients.
  • Work may be repetitious, and in a high-stress environment.
  • Contact may involve dealing with angry and/or upset people.

Qualifications

High School Diploma or GED.

3 years experience at a healthcare organization preferred.

Certified Medical Assistant "CMA" or Certified Nurse's Assistant "CNA" preferred.
