Job Title: DOT Compliance Coordinator Normally Reports to: Safety Compliance Manger Position Location: Houston, TX - Onsite Job Objective: To perform responsible to work with employees to ensure they are in compliance with all local and federal state laws and regulationsalong with company policies for all branch location sites per state. Coordinates the preparation and completion of regulatory and compliance documents by maintaining orderly updated documentation. Essential Duties and Responsibilities: In addition to the essential job functions described below, all associates will perform duties as requested by management.
- Ensure program compliance around Driver Qualification Files. Maintain driver qualification files, collect and post missing and expiring documents.
- Provide administrative and clerical support including recordkeeping, invoice payment and problem resolution to ensure compliance with company policies and DOT regulations.
- Ensures all training, medical, driver and DOT employee records are current according to all corporate guidelines.
- Follow up with managers and drivers to acquire required documentation.
- Ensure new hire drivers are qualified before operating a commercial motor vehicle.
- Provide support on scheduling appointments for drivers to renew medical examinations.
- Order and monitor MVRs (motor vehicle records) and report drivers who are disqualified to drive.
- Respond to inquiries for Safety Performance History Request Reports on previously employed drivers.
- Assist Safety Compliance Manager to ensure employee compliance of local, state, and federal safety regulations
- Assist in managing company random drug and alcohol testing program, including performing DOT andNon-DOT Drug and Alcohol screenings
- Maintain compliant active and inactive employee files
- Assist in New Hire safety orientation - including but not limited to, entering, and uploading information into multiple systems, preparing PPE packs, collecting paperwork, and assigning site specific training
- Create reports and metrics. Maintain Weekly Status Reports.
- Must be willing to work flexible hours during times of increased work activity
- Other duties as assigned by Manager
Knowledge, Skills, and Abilities:
- Minimum 2 years' experience working in a DOT compliance related position
- Strong understanding of DOT and FMCSR compliance regulations
- Excellent interpersonal and communication skills with people at all levels of the organization, external customers, and contractors.
- Demonstrated organizational skills, and ability to handle multiple projects.
- Proficient with Microsoft Office applications: Outlook, Excel, Word, and PowerPoint
- Excellent follow-up skills, attention to details and accuracy
- Support DOT record keeping duties for an assigned Areas/Locations/Market
- Communication with respective management teams on DOT issues/concerns
- Knowledgeable to coach/train management teams on correct DOT processes
- Scan, upload, and file documents
- Create spreadsheets and reports, as required
- Additional administrative tasks, as needed
