This position will primarily coordinate and manage the business/financial and administrative operations for the College of Architecture, Design and the Arts, and the Jane Addams Hull House Museum (HH); reporting to the Director of Finance in the Dean's Office. In addition, this role will also work closely with the leadership teams in the Dean's Office and at Jane Addams Hull House addressing various administrative duties & initiatives as needed, this includes, but is not limited to assisting the schools within CADA when vacancies for financial positions occur.

Duties & Responsibilities:
Financial:

  • Oversees the day-to-day fiscal management of the operation, including the processing of transactions. Review and reconcile accounts monthly and manage year-end activities.
  • Participates in the development and implementation of the budget, departmental programs, objectives, and long-range planning.
  • Sets up vendors; coordinates honoraria payments; issues, negotiates, and submits contracts. Handles cash and check deposits.
  • Coordinates all payments to/from internal UIC units (e.g., Mail Services, FM, academic departments).
  • Oversees payables and receivables as well for external customers/vendors. Work with staff and vendors on supplies and material orders.
  • Maintains all financial records and reports for all fund types and produces monthly financial reports.
  • Act as a liaison to various internal/external committees as required of position.
  • Provides additional comprehensive reports and detailed analyses for the Administration as required.
  • Tracks all expenses and income for State and non-State Funds, i.e. gifts and grant funds Digitize and reconcile receipts and other relevant documents.
  • Manages Chrome River, P-Card, and T-Card expense report submissions. Makes deposits of earned income revenue.

  • Facilities Management & Events:
  • Provides facilities management support and assistance.
  • Works with staff and University Systems to develop and maintain equipment inventory. Processes work orders.
  • Works it collaboration with college facilities manager to provide business process support in the remodeling and/or annual maintenance activities.
  • Work closely with CADA IT and staff to manage tech equipment, IT/Equipment service and Systems.

  • Grant Management:
  • Prepares financial sections of grant proposals and reports; submits grant proposals, reports, and internal approval requests.
  • Administer grants and contracts.
  • Work with the Office of Sponsored Projects for related grant reporting and establishing of anticipatory accounts and closing out grants.

  • CADA - College level support:
  • Provides support to finance and HR college level areas as needed; assist as a Unit Security Contact and managing/resolving access conflicts.
  • Assist in training new staff as required, perform other related duties, and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. A. Bachelor's degree in accountancy, business administration, management, or a closely related field.

    OR

    B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

    OR

    C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
    • 30 semester hours equals one (1) year (12 months)
    • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)

    Preferred Qualifications:
    Knowledge:
  • Commonly known principles required for this field of work.

  • Skills:
  • Measurable learnings (e.g. Can perform at an Intermediate level of Excel and Word, Typing at 50 wpm, Advanced knowledge of research protocols, etc).

  • Abilities:
  • Demonstrated learnings (e.g. able to translate strategy to action, communicate at all levels of organization, work effectively in ambiguous situations, proven track record of increasing customer base).
