The Medical Support Specialist Specialty Coordinator assists Concentra centers with scheduling, reporting, billing, and preparing for specialty patient visits including surgery. This role performs all administrative duties associated with Medical Group practice within a specific center or market.



Responsibilities

    Review second level text for specific protocols requested by client and advise specialty physician accordingly.
  • Obtain authorizations from clients and insurance carrier for specialist treatment as prescribed by physicians.
  • Report denials or delays to center manager.
  • Obtain authorizations for patient referrals to specialists, diagnostic testing and surgeries.
  • Inform physician if authorization request is denied.
  • Maintain records of all referrals and complete monthly reports
  • Make appointments for patients with specialists.
  • Make appointments for patient follow-ups.
  • Contact patients who miss an appointment and/or report missed appointment to employer.
  • Notify patients of all appointments
  • Type ortho first reports; process and mail reports to employers and insurance carriers
  • Type and mail status update reports
  • Track and manage transcription reports.
  • Maintain filing system for specialist charts.
  • Review and process all charge tickets.
  • Assist clinic manager in prioritizing work activities, evaluating effectiveness and modifying activities when necessary.
  • Meet deadlines for work assignments and inform supervisor of work status and progress.
  • Communicate and work with other staff to ensure efforts are coordinated and a high quality of service is provided.
  • Create daily and monthly billing and MRI/Scan utilization reports.
  • Assist Front Office personnel by answering telephones, registering patients, and discharging patients.
  • Utilize formal channels of communication to report concerns, personal requests, and patient issues.
  • Respect patients' right to privacy and confidentiality
  • Maintain an orderly and professional working atmosphere.
  • Understand and follow department's organizational policies and procedures.
  • Assist with additional tasks to support clinic operations, including but not limited to, results reporting, drug screening, and rooming patients.

Qualifications

Education Level: High School Diploma or GED

Job-Related Experience

  • Customarily has at least one or more years of administrative experience in a medical office, preferably related to Workers' Compensation

  • Knowledge of medical terminology
  • Excellent telephone manners and etiquette
  • Typing/word processing skills; ability to type at least 45 words per minute
  • Proficiency in use of business machines (calculator, computer, and copier)
  • Desire to meet and exceed client and patient needs and expectations.
  • Ability to complete assigned projects and meet deadlines.
  • Sufficient knowledge of grammar, punctuation and spelling to correctly enter patient information into the computer.
  • Ability to speak clearly and concisely.
  • Ability to sort and file materials correctly in alphabetical or numerical systems.
  • Bilingual in Spanish preferred.
  • Ability to follow physician's oral instructions.

This position is eligible to earn a base compensation rate in the state range of $20.02 to $26.02 hourly depending on job-related factors as permitted by applicable law, such as level of experience, geographic location where the work is performed, and/or seniority.
