The base salary range for a Sr Payroll Administrator is $65,000.00 to $118,00.00. Actual salaries will vary by geographic location and are based on factors such as candidate's qualifications, experience, skills, competencies, and company tenure & equity. In addition to base compensation, this role is eligible for an annual incentive plan based on company performance and individual performance.

This is a multi-level position with increasing levels of responsibility and requirements for each level.

Sr Payroll Administrator Overview

The Sr Payroll Administrator is responsible for overseeing all payroll related duties that lead up to and include the processing of the Company's payroll. This role ensures compliance with payroll and tax laws, administers payroll and time management modules, and processes payroll changes. Additionally, the role involves managing payroll compliance, participating in annual audits, optimizing payroll processes, and developing payroll-related communications.

Essential Duties:



  • Oversee payroll and payment processing for 600+ employees nationwide.
  • Validate and update hours worked as needed during variance review, review leave requests and perform data entry into the time and attendance system.
  • Ensure payroll policies and practices comply with relevant payroll tax laws and regulations and monitor new laws and regulations to ensure compliance.
  • Manage payroll compliance and all remittance of bi-weekly, monthly, quarterly, and annual state, federal payroll year-end activities and taxes for multiple states nationwide.
  • Assist with the development and implementation of payroll practices, policies, and procedures.
  • Analyze payroll workflow process and look for ways to optimize and improve processes; assist in development and implementation of new procedures and features to enhance the workflow of payroll processes.
  • Administer Payroll and Time Management modules in UKG UltiPro, including module configurations and writing and generating reports as needed.
  • Maintain and ensure accuracy and consistency of payroll database and records as it relates to payroll processing including tax withholding setup and maintenance, audits, and payroll reports. Process all necessary corrections as needed. Audit information for completeness and take appropriate action where needed.
  • Manage relationships with employees, payment service providers, payroll tax consultants, and leadership.
  • Assist Finance with month-end close by preparing payroll related journal entries including salary accrual, PTO accrual, Medical and Dental, and monthly general ledger interface.
  • Document, maintain, and manage annual audits of payroll processes.
  • Develop and distribute required communications for payroll related matters to employees as needed.
  • Partner with Finance and/or HR departments with related special projects as assigned.
  • Perform other related duties and responsibilities as assigned.


Required Knowledge, Skills and Abilities:



  • Strong knowledge of federal and multi-state payroll tax
  • Understanding of deduction and earning codes and tax categories related to W-2 processing and organizational budgeting
  • Strong understanding of required reporting - multiple State, Federal, Local jurisdictions
  • Strong understanding of wage garnishments and other involuntary deductions in compliance with federal and state regulations
  • Understanding of year-end W-2 processes
  • Expert computer skills, including Microsoft Office Suite; strong knowledge of Excel including V-lookup and pivot tables
  • Excellent organizational, detail orientation and time management skills with the ability to work under tight deadlines
  • Ability to interact with employees and leaders of all levels as well as state contacts and external vendors
  • Ability to maintain the highest degree of confidentiality in protecting sensitive information
  • Strong customer service and communication skills (written and oral)


Required Education and Experience:



  • Bachelor's degree or equivalent work experience
  • 5 years of payroll experience
  • Extensive experience with UKG UltiPro payroll software


Preferred Education and Experience:



  • Certified Payroll Professional (CPP) certificate
