Description

Position Summary:

This position has the split role of operational support and on-the-floor client service delivery. The person selected will perform administrative assistance, such as facility ordering and inventory, client liaising, transportation coordination, UA scheduling, and Medicaid checks, etc., and lead behavioral health technician duties, such as medication administration, transportation, floor and call-off staff coverage, etc. Essential Job Functions include those listed below.

Essential Job Functions:



  • Under the direction of facility administration, facilitates and supports day-to-day operations
  • Conducts, accounts for, and submits facility inventory and ordering reports and schedules according facility needs.
  • Acts as a first-contact opportunity for client with complaints, grievances, concerns or suggestions.
  • Participates in region-wide internal and community event planning and facilitation, including the Event Planning Committee and coordinated efforts with WestCares Community Action Council
  • Coordinates client transportation, client UA screenings/schedule, and Medicaid checks
  • Performs facility/operational spot checks and audits, i.e., cleanliness, medication room, building and grounds form and function
  • Participates in on-site WCC management meetings and monthly Arizona management meetings
  • Supports the duties and responsibilities of the facility supervisor, clinical manager, and residential director
  • Leads site-specific tours and visits
  • Conducts skills building groups and other activities for clients
  • Assists with orientation, mentoring, and training frontline staff (BHTs, kitchen staff) in job functions and program and agency policies and procedures
  • Fills in as needed and when appropriate for floor staff, with some flexibility in schedule and rotation in duties; as in medication pass, transportation, floor coverage, group facilitation, cooking, client inventorying, intake, client orientation, etc.
  • Assists in ensuring all clients are adhering to establishing group and activity schedules
  • Assists in performing thorough searches of rooms and common areas periodically for paraphernalia, illegal items, and contraband.
  • Assist with monitoring and ensuring the quality of services of the residential environment
  • Represents the agency, as requested/assigned, at meetings of funding agencies, governmental authorities, seminars, workshops, etc.
  • Establishes and maintains relationships with referral sources, other rehabilitation programs, and health related organizations
  • Participate in training, as required, including e-learning.
  • Participates in Performance Improvement activities as required by the agency
  • Other duties as assigned

Qualifications

Essential Qualifications:

Certifications/Licenses:



  • Valid drivers license and ability to obtain and maintain WestCares vehicle insurance is required;
  • CPR Certification, First Aid Certification and an annual Tuberculosis test.
  • Possess or able to obtain Arizona Level 1 Fingerprint clearance card
  • Able to pass Arizona Central Registry background check


  • During your tenure with WestCare there may be new requirements, including, but not limited to vaccinations that are issued by local, State, Federal, and/or Funders that WestCare may have to comply with. Should this occur Human Resources or appropriate personnel will inform you



Education:



  • High school graduate or equivalent


Experience and Competencies:



  • Two (2) years of experience in a residential setting
  • Two (2) years of experience in clerical/admin assistance
  • Ability to act in a professional manner with quests, clients, and staff
  • Strong communication skills;
  • Ability to exercise good judgment and discretion;
  • Ability to work well in a team environment;
  • Adherence to the highest standard of ethical conduct, especially to standards governing confidentiality;
  • Professional appearance and demeanor;
  • Must be culturally/linguistically sensitive to populations served;



Working Conditions:



  • Administrative assistance work can be performed in an office setting, whereas much of the lead BHT work is actively moving around the facility and in the community performing various duties in a fast-paced environment
  • Some outdoor activities may be required.
  • Must be able to de-escalate situations in the program
  • Frequent travel between facilities and in the community is common
