The National Multiple Sclerosis Society mobilizes people and resources to drive research for a cure and to address the challenges of everyone affected by MS. Staff members engage volunteers through effective and timely communications, facilitating meaningful opportunities, and continually seeking and providing feedback for reciprocal growth and learning.

The Operations Sr. Specialist would work on the Global Strategies team within the Office of the CEO, with a focus on the International Progressive MS Alliance (Alliance), the International Clinical Trials Committee and other global initiatives, responsible for performing administrative and communications activities and updating and delivering on the operational business plan across the various leadership and work teams.

The Alliance is a global collaboration of MS organizations, researchers, clinicians, pharmaceutical companies, and people affected by progressive MS, transforming the landscape of progressive multiple sclerosis. The National MS Society (US) is the lead agency for the Alliance. The International Advisory Committee on clinical Trials in MS provides perspective and guidance to the MS scientific and clinical healthcare provider community related to the global scientific and clinical health care provider community.

The Senior Specialist, Global Strategies will have the ability to work remotely from home, anywhere in the US.

Understand and deliver Global Strategy materials with a high level of attention to detail, organizational skills, and a continuous improvement approach to processes, timelines and impacts.(50% of job)

Administrative, Financial and Project Management

  • Provide organization and tracking on key documents and resources

  • Track and ensure adherence to the governance policies and documents

  • Coordinate, align and track the operational functions of the Clinical Trial Committee and Alliance's six leadership committees, including the Executive, Scientific Steering, Fundraising and Communications, People Affected by Progressive MS and Industry Forum committees. Create meeting summaries, ensure effective and timely communications, manage calendars, coordinate committee agendas/meetings, and track progressCollaborate with Finance to manage invoicing and expense report development, processing and tracking

  • Manage multiple projects at once, notifying staff and/or volunteers of actions needed, due dates, new information demonstrate strong skills in project management and communications.

Lead convening activity planning, and support agenda and content development for global in person and virtual meetings(40% of job)

Meeting Planning

  • Schedule calls and meetings for the International Progressive MS Alliance committees (including Executive Committee, Fundraising & Communications, Industry Forum, Scientific Steering Committee, and People affected by MS Engagement Coordination Team) as well as for committees and work groups related to other Global Initiatives (including the International Advisory Committee and Global Research Strategy Group). With support from Global Strategy team members, draft and distribute agendas, meeting materials and meeting notes. Assist in follow up on key action items from meetings.

  • Assist with coordination for Alliance exhibits and participation at external meetings and conferences

  • Lead the execution of Alliance meeting logistics from planning and execution, invoicing, room blocks and provide support for speaker preparation, donor engagement etc. with oversight from the Director, Global Initiatives. Support meeting logistics for other Global Initiatives in collaboration with the Global Strategy team.

  • Lead in planning and support of volunteer travel and expense reimbursement

Stimulate awareness, engagement and active support through communications to raise the profile and influence progress among priority stakeholders in the global MS community(10% of job)

  • Working with the Communications Director, Global Initiatives communicate and report on strategic efforts and progress to key Society leadership and global constituents.

Role Qualifications:

Education and Experience:

  • Considerable diplomacy and tact are often required when working with global staff and volunteers (Essential)

  • Work well in a team atmosphere with the Global Strategy, Alliance and other Society staff to maintain key relationships (Essential)

  • Associate Degree or Bachelor of Arts or Science (In lieu of a degree, 3+ or more years in a communications, marketing and project management environment with demonstrated experience in building timelinesand managing multiple projects across a distributed organization)(Essential)

  • A proven track record of success in support of a large, geographically dispersed project in the voluntary, public sector or multi-site environment of comparable size and complexity, to deliver high quality results to deadlines and under pressure (Essential)

  • Demonstrable understanding of and experience in working across cultures to deliver results (Essential)

  • Demonstrable experience of applying effective problem-solving techniques when the situation demands (Essential)

  • Strong proofreading, editing and communications skills

  • Understanding of brand, marketing and advertising/promotional plans; materials development with consideration to differing cultural norms and languages

  • Ability to create strong relationships with team members across geographies

  • Strong collaboration with cross-organizational stakeholders and ability to create and follow processes and communicate around delivery and time-sensitive materials

  • Experience in adhering to strict brand standards, language guidelines, and other asset management policies as required

  • Excellent time management, customer-service attitude and working across channels

Technical/Other:

  • Demonstrated experience developing and managing numerous multi-channel projects in a fast-paced, international environment

  • Experience working closely with production creative staff, likely located in various countries, as well as asset manager(s) and other team members to ensure high-quality work product in on-time delivery

  • Demonstrated experience with Microsoft Office products including Word, Teams, Outlook, PowerPoint, and Excel, as well as other project management and other collaborative tools and systems like Asana and Zoom

  • The position requires skills working with remote teams across international time zones. It may require work during non-traditional work hours and comfort using tools such as Teams, Zoom and other communication platforms

  • The incumbent should demonstrate a commitment to the mission, vision, cultural values, and expectations of the National MS Society and the International Progressive MS Alliance

Compensation & Benefits Info:

Estimated hiring compensation range for this role is $42,000 - $52,000 based on our average compensation schedule.Final offers will be based on candidategeographic location and consider career experience and may vary from this range due to these and other factors.
