The Position:

Under the direction of the Controller, the Administrative Assistant is responsible for using a proactive approach to provide support and administrative duties. Administrative duties will include filing, spreadsheet maintenance, communicating via email and phone with vendors and employees on a regular basis and providing support to the Project Manager Assistants, Managers, Engineers, Controller and Area Manager to ensure projects are completed according to contract documents, plans, and within budget using a proactive approach.

Role and Responsibilities

  • Receive and handle all incoming calls and visitors
  • Assist with vehicle registration and other tasks assigned by transportation
  • Route purchasing card submissions to appropriate approvers
  • Assist with CRCS reporting
  • Code material and trucking invoices
  • Process reporting adjustments associated with operations
  • Spend time supporting Construction, Engineering, Manufacturing, Operations, Transportation and Shop/Equipment Repair
  • Shop and office invoice distribution, coding and submittal
  • Support for writing permits, work orders, invoice coding and submittal
  • General administrative duties and business correspondences, including copying, laminating and assembling project boards
  • Downloading and printing of project plans and specifications
  • Schedule hotel rooms
  • Performs other related duties as required and assigned

The Candidate:

  • High School Diploma or Equivalent
  • Valid Driver's License that meets qualifications
  • Word & Excel proficiency
  • Excellent verbal and written communication, consulting, conflict management, interpersonal and negotiation skills

Preferred Skills

  • Courses or certificate in Business Administration
  • Prior experience within transportation, logistics, construction, engineering or other relevant industry experience
  • Ability to communicate to others to convey information effectively, either by telephone, in written form, email, or in person
  • Ability to manage own time, prioritize responsibilities, and multi-task
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusion or approaches
  • Ability to perform in a fast-paced work environment and continue to develop and grow
