This School Research Administrator,
POD 1 Post Award position will be administratively responsible for coordinating, developing, and overseeing sponsored projects' overall post-award grant cycle activities. These include complex multi-site projects from a variety of sponsors, federal and non-federal.
The individual will work directly with the Principal Investigators (PIs) and will be expected to function independently, with general oversight from the Manager of Research for Research Administration Pod 1, which supports six academic units*, and in coordination with the Associate Deans for Research, the Finance Directors and other members of the administrative teams within those units, as well as central administration, including the Office of the Vice Provost for Research (
OVPR).
As a liaison between sponsors, investigators, and campus partners, this role is critical to maintaining effective relationships and responsiveness to the George Washington University, federal, and sponsor policies, regulations, and values.
Duties and Responsibilities:
- Oversees all communication and coordination with subcontractors, public, private, government agencies, foundations, and other individuals or groups to exchange information, enlist collaboration, and implement sponsored projects and awarded proposals.
- Coordinates award set-up upon receipt of new awards with the PI and the Office of the Vice Provost for Research (OVPR) (e.g., administrative establishments, contracts, sub-awards, etc.) Works with Faculty PIs and OVPR regarding annual renewals of awards (progress reports, no-cost extensions, etc.)
- Reviews the post-award administration of the school's sponsored projects, including reimbursements, faculty summer salary, purchase order requisitions, service agreements, invoice payments, P-Card activities, payroll distributions, stipends and tuition benefits, etc.
- Facilitates financial award management, award spending projections, and reporting; meets regularly with PIs to review.
- Maintains familiarity with OMB Uniform Guidance, University policies and procedures, and federal grant and contract regulations; ensures all reports and certificates are processed for grant close-outs; establishes and maintains grant proposal files and updates appropriate databases.
- Oversees post-award functions and facilitates the management of awarded projects, including project close-outs, memoranda, and correspondence designed to document, enhance, and expand research activities and programs and ensure that deliverables and milestones are met. Maintains continual contact with PIs, OVPR, the Grants and Contracts Office (GCAS), and others concerning financial matters related to the projects.
- Identifies issues and streamlines activities that further benefit the Pod and OVPR.
- Serves as a liaison between the Pod and OVPR.
- Enhances professional knowledge and skills by attending seminars/workshops and reviewing published literature and federal guidelines.
- Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties logically related to the position.
*Research Administration
POD 1 Supports: College of Professional Studies, Columbian College of Arts and Sciences, Elliott School of International Affairs, Graduate School of Education and Human Development, GW School of Business, Libraries and Academic Innovation, and the Provost Non-School Units. Individual School Research Administrators generally carry responsibility for a specific departmental portfolio in order to gain in-depth experience with the needs of the Principal Investigators within that portfolio, but may be asked to cover additional proposals or awards for limited periods of time as needed. |
Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
- Post-Award Grant Management Experience: 1-2 years of experience managing complex multi-site, federal, and non-federal research projects, including financial oversight and compliance is preferred.
- Knowledge of Research Policies: Expertise in federal grant regulations and university research policies, with a focus on financial management, reporting, and project close-outs.
- Strong Communication Skills: Ability to effectively coordinate with PIs, sponsors, and internal teams, fostering collaboration and ensuring successful project outcomes.
