About the Department:
Student Health Services (SHS) provides health care services at George Mason University. SHS provides primary care services and health promotion to eligible students at Mason, including but not limited to initial and follow-up assessment, history taking, physical exam of patients, utilization of differential diagnosis, appropriate interventions, consultations and referrals as indicated, and basic emergency treatment and stabilization. Staff provides services to faculty, staff, and visitors on an as-needed basis. SHS operates its main clinic on the Mason Fairfax Campus and smaller clinics on the Mason Square (Arlington) and SciTech Campuses (Prince William).
About the Position:
The Clinical Immunization Compliance Manager, reporting to the Associate Nursing Director, oversees the immunization compliance team, providing leadership, clinical supervision, and in-person support for students throughout the compliance process. This role involves meeting with students needing additional assistance, collaborating with leadership to establish policies, and using EMR software to review and verify medical records. Additionally, the manager works closely with both the immunization compliance and nursing teams to handle student inquiries and administer immunizations, while fostering campus relationships to promote compliance goals and enhance student experience.
Responsibilities:
- Supervises and provides clinical oversight to the hybrid immunization compliance team by managing and guiding staff that work both in-person and remotely to ensure students meet immunization requirements;
- Responsibilities include overseeing daily operations, supporting team members, addressing challenges, and maintaining the overall quality and efficiency of the compliance process;
- Offers in-person availability and appointments to students seeking assistance with University and State immunization compliance requirements for enrollment;
- Answers questions about immunization policies;
- Provides detailed explanations of vaccine-related requirements;
- Interprets medical records to confirm compliance;
- Transcribes vaccination information and administers required immunizations;
- Supports students in meeting enrollment immunization standards and ensures they understand their obligations;
- Assists with administrative and data management tasks related to immunization compliance, including scanning documents, entering data into the Electronic Medical Records (EMR) system (Medicat One Immunization Compliance software), transcribing immunization records, and verifying the accuracy of submitted documentation to ensure compliance with University and State requirements;
- Performs clinical procedures to support immunization compliance, including administering vaccines and conducting phlebotomy for laboratory titers as needed;
- Provides these services to expedite the compliance process and address individual student requirements. Manages process for medical and religious exemptions;
- Schedules students requiring immunization or laboratory appointments, coordinates with staff and resources to ensure timely access to necessary services for meeting compliance standards;
- Communicates with students to provide clear instructions and address any questions related to their appointments;
- Acts as the journey manager for immunization compliance by assisting students who require additional support to complete the process timely and works closely with students who are at risk for being placed on registration holds;
- Fosters collaborative relationships with campus stakeholders to create a seamless immunization compliance process and enhance student experience;
- Develops and implements workflows across the immunization compliance and nursing teams that expedite the immunization compliance verification process;
- Works closely with Associate Nursing Director to ensure excellent student experience and reduction of immunization compliance related registration holds;
- Provides service recovery for students with immunization compliance concerns;
- Develops reports utilizing EMR and registration software to monitor immunization compliance rates and implements an auditing process for immunization data entry;
- Collects and oversees the data management and QI aspects of the Immunization Compliance initiative; and
- Provides in-person presence for immunization outreach events during orientation and admission events and also during immunization clinic events held throughout the academic year.
Required Qualifications:
Education
- Bachelor's degree in related field or equivalent combination of education and experience aligned with state licensure requirements.
Certification/license
- VA RN license or valid multi-State license prior to time of hire; and
- Healthcare BLS certification required, or ability to obtain within 30 days of hire.
Experience
- Demonstrated experience nursing clinical post-training (typically obtained in 1+ year(s));
- Experience supervising nursing or administrative staff; and
- Experience as a nurse in a healthcare setting.
Skills
- Highly developed verbal and written communication skills;
- Demonstrated ability to accurately interpret and understand medical terminology related to vaccine administration; and
- Ability to supervise administrative or clinical staff.
Preferred Qualifications:
- Master's degree in related field;
- Experience nursing in college health setting;
- Experience nursing in an ambulatory healthcare setting;
- Demonstrated knowledge of immunization compliance and verification process; and
- Ability to administer vaccinations and perform phlebotomy.
