DESCRIPTION

Under the supervision of the Service Line Leader/Practice Manager, the Lead Administrative/Surgical Coordinator is responsible for coordinating clinic operations and surgical scheduling within the practice. This role serves as a liaison for patients, physicians, hospitals, and other departments regarding surgical scheduling, authorization, and patient surgery preparation. In addition to coordinating surgical appointments and ensuring timely pre- and post-operative care arrangements, the Coordinator works closely with the front office and referral team to ensure referrals are distributed strategically to maximize surgical block utilization and enhance revenue. The Coordinator also plays a key role in revenue cycle processes by identifying opportunities to optimize billing practices, ensuring accurate documentation for reimbursement, and supporting financial reconciliation efforts. Additionally, the role involves troubleshooting administrative and IT issues related to clinic operations, compiling financial and compliance reports, and contributing to process improvements that enhance efficiency and revenue capture. Other duties as assigned.

MINIMUM QUALIFICATIONS
  • A minimum of six (6) years of related experience, education/training, OR, a Bachelor's degree in business, healthcare administration, or related area plus two (2) years or more of relevant experience.

  • Experience in surgical coordination and referral management within plastic surgery or a related specialty.

  • Strong analytical and problem-solving skills, with the ability to assess clinic needs, optimize scheduling, and ensure efficient referral distribution.

  • Excellent teamwork and collaborative leadership abilities, with a focus on cross-functional coordination between clinical, scheduling, and surgical teams.

PREFERRED QUALIFICATIONS
  • Demonstrated experience in a lead or senior-level role, with the ability to provide oversight, support team members, and ensure effective training and workflow optimization.

  • Experience in surgical scheduling optimization to maximize block utilization and enhance revenue.

  • Experience in project management, particularly in process improvement, workflow efficiency, or revenue cycle management.

  • Familiarity with Lean methodology and performance improvement strategies.

  • Proficiency with Epic EHR system and related scheduling/billing applications.

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $63,099 - $91,914 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.22 - $44.02

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
