Position Description:

The Special Events Intern will assist in the planning, production, and execution of high-quality internal and external events for The Ohio State University Comprehensive Cancer Center Arthur G. James Cancer Hospital and Richard J. Solove Research Institute. This role involves collaborating with donors, board members, corporate partners, health network partners, and staff to produce multiple high-profile events throughout the year. These events may include cancer awareness walks and events, physician referral receptions and clinical conferences, donor galas and formal dinners, festivals, sports-related fundraising events, internal clinical awareness weeks, site visits, and other special events. The Special Events intern will also be involved in logistics and inventory management, volunteer management, social media content creation and preparation of event reporting and wrap-up presentations.

Major Duties and Responsibilities:

- Assist with arranging and managing logistics for events, including securing locations, room setup, audio/visual needs, and catering.

- Handle administrative tasks such as mailings, assembly projects, and filing.

- Manage event RSVPs, attendee lists, and create name tags.

- Maintain and update the Events Calendar.

- Design and maintain a filing system for easy archival and retrieval of event-related materials.

- Catalogue photos, videos, and other media from events.

- Help design and order collateral materials and organize records of past event collateral.

- Assist with maintaining inventory of event supplies and materials.

- Update event timelines and assist with project management.

- Assist with physical pick-up of goods and event equipment.

- Attend and assist with on-site execution of events.

- Assist in scheduling and preparing agendas, documents, and background research for meetings and events.

- Collaborate with social media team to provide event-related content.

- Support the Events and Special Projects teams with budget reconciliation.

- Perform other duties as assigned.

Qualifications:

- Currently enrolled at The Ohio State University, in an undergraduate or graduate program.

- Professional in appearance, attitude, and action with a positive, motivating, and team-spirited attitude.

- Ability to work independently, take initiative on projects, work on multiple tasks, be flexible and meet deadlines.

- Strong written and oral communication skills, excellent interpersonal skills, organizational skills, problem-solving abilities, and attention to detail.

- Comfortable representing the organization at community events.

- Interest in healthcare work, cancer research and fundraising a plus.

- Must be trustworthy and able to work with confidential data.

- Experience with Microsoft Office applications, Google Docs, and Adobe Creative Cloud is a plus.

- Experience with social media content creation including writing copy, capturing photos and creating videos is a plus.
