The Trust Operations Specialist is responsible for demonstrating service excellence in accordance with Nicolet's Vision and Values statement by consistently ensuring client standards are met or exceeded. Specifically responsible for processing transactions, in accordance with Department policies and procedures (including dual control), on Trust Accounting system, reconciling Trust-related accounts, and generating reports to assist in monitoring Trust business.

As a Trust Operations Specialist, you will:

  • Perform trust accounting functions including, but not limited to, balancing cash accounts; interest accruals; posting loan payments, reviewing, and posting cash receipts and disbursements; processing fees; daily net settlement with custodian; account transfers; generating, printing, and mailing checks.
  • Update account records. Prepare monthly reports and customized reports as necessary.
  • Help coordinate materials and prepare responses for examiners/auditors.
  • Help with the process of quarter-end and year-end reports including 1099s, 5498s, and other tax-related reporting.
  • Review operations and accounting procedures to increase effectiveness and efficiency.
  • Answer telephones to give support for online trust account access and provide back up to other trust personnel as needed to promote service excellence in Trust department.
  • Develop and maintain relationships with bank personnel, increasing understanding of trust services.
  • Participate in applicable department, division, and bank-wide meetings and assist with department projects and reporting as necessary.
  • Consult with and assist strategic partners on matters regarding existing or new accounts and clients.
  • Uphold Nicolet's philosophy and policies by maintaining appropriate controls to ensure full compliance with applicable laws and regulations, thereby fulfilling legal responsibilities and enhancing the quality of services provided by Nicolet.

  • Performs all other duties as assigned.

Qualifications

  • High School Diploma required.
  • Associate's Degree or Bachelor's Degree in Accounting/Finance or equivalent work experience preferred.
  • 1-3 years of administrative, operational, or related experience.
  • Trust Operations experience preferred but not required.
  • PC, phone system, general office equipment.
  • Proficiency with Microsoft Office applications.
  • Ability to maintain strict confidentiality.
  • Ability to effectively promote Nicolet as a bank of choice.
  • Strong organizational, multi-tasking and prioritizing skills.
  • Self-motivated and resourceful.
