EF is headquartered in San Francisco, CA, and our more than 100 staff members are based in locations throughout the Midwest, Northeast, Southeast, and Western regions, where they can best serve our programs, partners, operations, and other functions.


POSITION SUMMARY

Reporting to the COO, the Senior Operations Manager is pivotal in driving the division's efficiency, collaboration, and strategic alignment. This position leverages strong organizational, analytical, and communication skills to spearhead projects, streamline workflows, and develop systems that enhance operational effectiveness. Key responsibilities include project and systems management, fostering stakeholder collaboration, overseeing budget and contract management, and synthesizing material for effective communication.



ESSENTIAL DUTIES AND RESPONSIBILITIES
Project and Systems Management

  • Lead or support multiple projects from initiation to completion, ensuring inclusive processes, efficient timelines, and adherence to milestones and deadlines.
  • Standardize, refine, and implement systems to enhance consistency, efficiency, and effectiveness in project management across the division.
  • Drive internal planning processes by designing tools, systems, and frameworks to support strategic alignment, budget management, and operational effectiveness.
  • Manage annual operational planning
  • Provide training and ongoing support for tools and processes, ensuring staff are equipped to maximize efficiency.


Collaboration and Stakeholder Engagement

  • Facilitate cross-team collaboration by working closely with leadership to design and support initiatives that promote alignment and information sharing.
  • Serve as a primary point of contact for inquiries, updates, and strategic direction on organizational and team-wide initiatives.
  • Coordinate and manage virtual and in-person meetings, including logistics, agenda development, facilitation, and action item tracking.
  • Anticipate and proactively resolve conflicts in meetings, timelines, or deadlines by ensuring open communication with stakeholders.
  • Research, document, and share lessons learned and best practices to foster organizational learning and improve processes.
  • Develop, track, and report on progress toward operational key performance indicators, annual priorities, and strategic objectives.
  • Prepare high-quality written materials for internal and external audiences, including reports, proposals, strategies, presentations, and communication updates.


Contract Administration and Budget Management

  • Oversee the full lifecycle of contract management, from conducting diligence to structuring contracts and processing invoices or reimbursements within established
  • Monitor and manage the division's budget, ensuring accurate reconciliation and timely communication of updates or changes to relevant stakeholders.



QUALIFICATIONS
Project and Process Management Skills

  • Decisive and detail-oriented project manager with a proven ability to manage multiple complex projects to successful completion in a matrixed organization.
  • Superior organizational, time management, and prioritization skills to handle competing demands effectively.


Communication and Problem-Solving Skills

  • Excellent written and verbal communication skills, with demonstrated experience synthesizing and distilling complex information into concise, polished products tailored to diverse audiences.
  • Solutions-oriented problem solver, adept at working collaboratively in a diverse, dynamic, and complex environment with local, regional, and national staff and
  • Comfortable working independently and effectively managing relationships across all levels-up, down, and laterally within the organization.


Technical Proficiencies

  • Advanced Microsoft Excel, Word, PowerPoint, and Outlook skills, preferably in a Mac
  • Fluency in project management tools/methods/software to manage complex workflows and experience creating and managing workflows in collaborative platforms like Asana, Google Drive, or Box.
  • Proven experience managing budgets, including reconciliation and


Facilitation and Event Management

  • Successful track record of organizing and facilitating meetings and events, including virtual and in-person settings.

  • Proven ability to foster and contribute meaningfully to workplaces where equity and inclusion are core values.


SUPERVISION

Reports to the Senior Vice President & Chief Operating Officer.


COMPENSATION

This is a full-time position. The target salary for this position is $175,500 for a candidate based in the metro areas of San Francisco, New York City, Seattle, San Diego, Los Angeles, Washington, D.C., Boston, or Sacramento, and $157,500 for candidates in other areas of the

U.S. EF provides a comprehensive benefits package, including competitive salary, medical, dental, vision, disability, and retirement benefits and paid time off.



OTHER REQUIREMENTS

Ability to travel three to four times a year for three to four business days at a time.

WORK ENVIRONMENT

EF is a remote-first work environment. This position may be based in any of EF's offices or may work remotely from anywhere in the U.S.

The office environments include some shared workspace, some individual offices, and shared kitchen facilities, with moderate noise levels and a collegial atmosphere. On occasion, there are activities or events after work hours.
