Purpose

The UT Libraries (UTL) Development team seeks an organizationally-minded Development Specialist to support the fundraising efforts for UTL's library branches, student programs, and special collections and archives. This crucial position will own ongoing processes and special projects, working collaboratively with the entire Development team as well as colleagues across UTL.

Responsibilities

  • Program and Workflow Coordination: Collaborates with team leadership to identify operational needs and develops, directs, and implements processes and programs. Develops administrative guidelines, procedures, timelines, and reports as needed. Coordinate projects in defined areas and report on activities and progress. Modifies procedures when necessary to meet new program requirements.
  • Endowment Management: Drafts gift instruments, processes new endowments for establishment, and interprets administrative guidelines for endowments and database management. Prepares general and customized reports to identified donors. Monitors use of endowments to be in accordance with donor restrictions and university regulations. Develops and delivers training to appropriate university staff on endowment regulations and use of database information.
  • Event and Meeting Support: Maintain and communicate logistical and scheduling details to all relevant parties, serving as a liaison with the events team to coordinate key meeting times and day-of plans. Assist with special functions as needed, including attending events, greeting guests, managing registration, etc. Coordinate and manage schedules, plan trips, arrange travel, and submit travel and entertainment reimbursements.
  • Donor Relations: Assist with recording contact reports, conducting prospect and donor research, managing donor stewardship projects, and enhancing internal team functions. Proactively develop creative ways to engage donors as additional development needs arise, and research or resolve internal and external questions related to stewardship plans. Research and address questions related to transformational donor stewardship. Organizes donor records for optimum utilization, including nature of information retained, structure, and location of files. Assists in implementing and maintaining automated information and updating system.
  • Campus Partnerships: Serve as a liaison with Donor Relations to ensure stewardship initiatives are effectively planned, executed, and compliant with university, foundation, and federal regulations. Support constituent relations by performing or assisting with processes, events, communications, and other activities as needed.
  • Other related functions as assigned.

Required Qualifications

  • Bachelor's degree.
  • At least one year of experience assisting with fundraising programs or performing complex administrative functions.
  • Highly effective communication and interpersonal skills.
  • Project management skills. Excellence in problem-analyzing and problem-solving.
  • Capable of working independently with accountability, while also engaging in collaboration between teams.
  • Demonstrated excellent detail-oriented organizational skills.
  • Ability to use discretion and diplomacy with sensitive information.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Experience with event coordination and staffing.
  • Experience with endowment compliance and tracking.
  • Hands-on experience executing fundraising campaigns.
  • Experience with CRM/database marketing.
  • Experience with volunteer management

Salary Range

$52,000 + depending on qualifications

Working Conditions

  • May work around standard office conditions.
  • Repetitive use of a keyboard at a workstation.
  • Weekend and evening work may be required.

Work Shift

Monday-Friday, between 7am and 6pm, as coordinated with manager. Flexible work arrangements available after initial onboarding, as approved by manager.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
