Join Our Dynamic Training & Education Workforce Team
We are looking for a Workforce Program Assistant to join our growing Training & Education Workforce Development team! This role will report to the Workforce Program Manager. The Workforce Development team is responsible for training workforce development participants and creating greater access to careers in energy efficiency. As a Workforce Program Assistant, you will be responsible for ensuring administrative needs are being met for staff and participants in the workforce programs. This position provides administrative and program coordination support and will work closely with the Workforce Development team and across CEE's residential department.

What You'll Do
Administration and Coordination
* Screen eligible participants for CEE's workforce training programs and prioritize candidates on a waitlist in collaboration with the Workforce Program Coordinator and community-based organizations.
* Assist the Program Coordinator in maintaining communication with graduates of the classroom training and internship. Coordinate with community-based organization partners to ensure graduates are connected to a training program or employment opportunities in the energy efficiency sector
* Support the workforce training programs through administrative tasks including, but not limited to:


  • Reserving rooms with community partners as needed for training.
  • Scheduling onboarding orientation for new workforce trainees with human resources, IT, and accounting departments.
  • Coordinating catering and refreshments for training cohorts for graduation events.
  • Ordering supplies and equipment needed for classroom and field training as needed.


* Maintain participant information in a database system (i.e., HubSpot). Continuously assess tracking of workforce program participants and evaluate new or better methods for tracking information.
* Organize emails in the Career Training inbox and respond to inquiries regarding the workforce development programs' cohort requirements and outreach events.
Cross-Departmental Collaboration
* Collaborate with CEE workforce development team and ensure clear lines of communication about training and administrative needs are being met across the residential Department.
* Coordinate with CEE's administrative team and collaborate with the Home Energy Squad on a regular basis regarding the workforce program's needs.
* Research nonprofit organizations and social services available to address participants' needs (i.e. housing, legal, childcare). Support the Program Coordinator in communicating these resources with participants and their navigators at community-based organizations.
* Attend meetings with community-based organizations and technical colleges related to logistics for an upcoming training cohort or to address any challenges that arise with coordination.
* Communicate effectively with diverse stakeholders (i.e. community-based organizations, county workforce boards, technical colleges, and tribal nations).
* Coordinate with CEE's accounting and human resources departments to ensure information needed for stipend payments, onboarding, and payroll is shared with workforce team, participants, and trainees.
* Assist teams in the residential department (i.e. New Homes, Multifamily) with administrative support on projects (i.e. calls to contractors, updating databases) as needed.
* Other duties as assigned or apparent.
Skills & Knowledge We're Looking For
* 1-3 years of experience in program assistance, administrative, or related roles in a social service or non-profit setting.
* Effective communication and cultural competency skills, both written and verbal.
* Knowledgeable of best practices in working with people facing obstacles to employment from various racial, cultural, and socio-economic backgrounds.
* Ability to work self-directed and independently with minimal supervision as well as on a team.
* Adaptable to program changes and needs.
* Strong organizational skills and attention to detail.
* Interest in learning about energy efficiency and ability to communicate information effectively.
* Proven ability to work effectively with Microsoft Office suite of products; experienced in data entry.
* Valid Driver's License
Preferred Qualifications
* Previous lived or professional experience in a workforce development or career training program.
* Skilled at utilizing database systems to track participant outcomes; experienced in compiling reports.
* Ability to speak and communicate effectively in language(s) in addition to English including but not limited to Spanish, Hmong, Somali, Oromo, Amharic, Karen, or Karenni.
Compensation


  • Dependent on qualifications and experience, we expect the pay range upon hire for this position will be $19.00-22.00.
