Job Description

Perform maintenance and organization of physical and electronic payroll records, including employee timecards, paystubs, tax forms, and other related documents, ensuring accurate data storage and retrieval for payroll processing while adhering to city policies and compliance regulations. While this position primarily focuses on document management, depending on division needs, may also be involved in some basic payroll calculations or other administrative tasks related to payroll processing.

ESSENTIAL FUNCTIONS:

  • Receive, sort and file employee payroll documents in an organized system (alphabetical, numerical, or by department).
  • Maintain a system for storing both physical and electronic payroll files.
  • Retrieve specific payroll records as requested by others.
  • Regularly purge outdated payroll files according to company retention policies.
  • Enter employee timecard data into the payroll system.
  • Verify accuracy of payroll information before submission.
  • Assist payroll staff with updating employee payroll details as needed (address changes, new hires, terminations).
  • Ensure compliance with all federal, state, and local payroll regulations.
  • Maintain accurate records for tax reporting purposes (W-2s, 1099s).
  • Generate payroll reports as needed, including employee earnings summaries and deductions reports.
  • Assist with payroll audits by providing necessary documentation.
  • Contribute to an environment of teamwork and respect.
  • Foster a culture of equity and inclusion by recognizing the diverse needs and perspectives of groups and individuals.
  • Remain current with relevant technological advancements as it relates to field.
  • Maintain regular, reliable, and punctual attendance.
  • Perform other duties as assigned.
