What We Offer

Provide administrative and office support activities for supervisors and/or departments to facilitate an efficient operation of the organization and its related areas

Major Responsibilities:

Executive and Staff Support: Support business leaders and staff with administrative tasks. Coordinate activities across departments for business leaders and provide advice and support to staff and peers. Financial Administration: Prepare expense reports for EP Leadership Team. Review expense reports for various business groups to ensure compliance with corporate policies. Procurement and Marketing Support: Support EP Marketing Communications by creating requisitions in Ariba and following through the entire purchase requisition process. Pay various trade show expenses through M&E card and expense reports. Meeting and Event Planning: Plan and prepare meetings and events, including drafting agendas, arranging logistics (meeting rooms, materials, food, and beverage), and coordinating schedules for international colleagues (EMEA, APAC, Mexico). Travel Arrangements: Arrange domestic and international travel, including flights and accommodations. Prepare travel packets with relevant information (airline details, agendas, itineraries). Group Event Coordination: Coordinate group events such as lunches, picnics, service anniversary events, and retirement celebrations across the entire EP business unit. International Documentation: Assist the entire EP business unit with processing of passports and complex international visas. Office Management: Coordinate office moves as needed. TPU Group Support: Support the TPU group with various administrative requests. Adaptability: Be prepared to take on additional tasks or responsibilities as needed to support the smooth operation of the EP business unit.

What You Offer

Basic Qualifications:

  • HS Degree with 7-10 years relevant experience or Associate's degree with 4 years' relevant experience
  • Proven experience in an administrative support role, preferably in a corporate environment
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams)
  • Familiarity with corporate systems such as Ariba, Concur, and SAP

Essential Knowledge and Skills:

  • Strong organizational skills with the ability to manage multiple competing priorities
  • Excellent interpersonal and communication skills
  • Ability to work independently and take initiative with minimal supervision
  • Experience in collaborating with employees at all levels of the organization, both regionally and globally
  • Discretion in handling confidential information
