Job Description

The Leave of Absence Administrator is part of the Corporate Benefits Team responsible for managing all aspects of employee leave requests and accommodations, including those under the Family and Medical Leave Act, Americans with Disabilities Act, Paid Family Leave, state and local leave laws, Military Leave, short-term and long-term disability plans, and Worker's Comp. This role involves coordinating with employees, managers, and external vendors to administer leaves, ensure compliance with federal, state, and company policies, and provide a seamless experience for employees and managers. The ideal candidate will possess a strong understanding of leave laws, excellent organizational skills, and the ability to handle sensitive information with discretion while maintaining detailed and accurate records.

Responsibilities:



  • Responsible for Leave of absence programs and ensures compliance with FMLA, Americans with Disabilities Act, Workers' Compensation, Work Accommodations, Short Term Disability, Long Term Disability, and other leave policies/plans.
  • Responsible for ensuring proper management of all administrative aspects of leave claims to include tracking hours used/taken; return to work data; case reviews and working closely with the Managers, HR, Benefits, and Payroll to ensure key dates, details, and status for employees is accurate and correct.
  • Communicates with employees regarding their needs for leave, restrictions, and/or modified work schedules. Ensures employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Ensure accurate documentation and confidentiality of employee medical records and files.
  • Coordinates the return-to-work process.
  • responsible for the interactive process of requests for accommodations under the ADA.
  • Reviews and recommends updates to company leave policies as needed to ensure compliance with federal, state, and local laws and regulations.
  • Responsible for creating and maintaining accurate leave records.
  • Acts as subject matter expert and provides general knowledge and training for employees and management regarding, FMLA, PFL, ADA, WC, STD, and LTD
  • Serves as a back-up to other Benefit team members on an as needed basis for daily inquiries and tasks.

Job Requirements

  • Bachelor Degree in Human Resources, Business Administration or related field
  • 5+ years of experience in leave management. Experience with laws such as FMLA, ADA, and other federal/state leave regulations and workers compensation.
  • Knowledge of all pertinent Federal and State regulations.
  • Proficient in MS Office with emphasis on spreadsheet and data manipulation using Excel.
  • Ability to respond effectively and timely to sensitive information.
  • Must be self-motivated and comfortable working in a fast-paced environment.
  • Strong interpersonal, teamwork, collaborative and communication skills.
  • Excellent verbal and written communication skills.
  • Must conduct self with the highest level of confidentiality and professionalism.
  • Ability to work in a team environment contributing to a positive workplace culture.


Preferred Qualifications:



  • SHRM or HRCI professional HR certification highly preferred
  • Prior experience working in a Government Contracting environment helpful
  • System experience with leave administration software, and/or HCM absence management modules
