Summary
The Manager of Project Operations is to lead and oversee the logistics and freight forwarding operations of the Projects Branch. This role requires a strong leader with experience in freight forwarding, customs regulations, and transportation management within a project environment.
Duties and Responsibilities
Operational Leadership:
* Oversee daily freight forwarding operations, including import/export activities, transportation, and customs clearance.
* Manage air, sea, and road freight services to ensure timely and cost-effective delivery of goods.
* Develop and implement standard operating procedures (SOPs) to streamline operations and enhance productivity.
Team Management:
* Lead and mentor a team of operations managers, project managers, project specialists, logistics specialists , warehouse staff, and customer service representatives.
* Assign responsibilities, monitor performance, and provide training to ensure high team efficiency.
Customer Service:
* Maintain strong relationships with clients, addressing inquiries, and resolving issues promptly.
* Ensure customer satisfaction by delivering reliable and quality services.
Vendor and Carrier Coordination:
* Assist with the negotiation of rates and contracts with carriers, shipping lines, and other service providers.
* Motivate the team to build and maintain strong partnerships with logistics vendors and stakeholders.
Compliance and Documentation:
* Ensure adherence to international trade regulations, customs laws, and company policies.
* Oversee the preparation and accuracy of shipping documents, including bills of lading, certificates of origin, and packing lists.
Performance Monitoring and Reporting:
* Meet key performance metrics (KPIs) related to freight operations.
* Ensure Project Managers are meeting project deliverables and client expectations
* Provide regular performance reports to senior management with actionable insights.
* Ensure that the team is an effective escalation point for Accounts Receivable when they need operational support with the clients in order to resolve issues affecting payment.
* Oversee midmonth and month end closings to ensure file closings are correct and job profit numbers are mostly accurate.
Cost Control:
* Optimize operational costs through effective routing, carrier selection, and resource allocation.
* Identify opportunities for cost savings without compromising service quality.
Technology Integration:
* Leverage logistics and freight management software to enhance visibility and efficiency.
* Stay updated with the latest industry technologies and trends to drive operational improvements.
Educational background / Work experience
* A college degree in Business Management is preferred
* 5+ years of experience in freight forwarding, logistics, or project management.
* Proven leadership experience in managing cross-functional teams.
* Certification in Freight Forwarding, Logistics, or Supply Chain (e.g., CILT, FIATA Diploma) is an advantage.
Skills & Competencies
* Strong knowledge of international trade regulations, customs procedures, and transportation modes.
* Excellent negotiation and communication skills.
* Analytical mindset with proficiency in CargoWise and MS Office.
* Problem-solving abilities and attention to detail.

Supervisory Responsibilities (if any)
* This position will be responsible for managing a team of operations staff.
Preferred Qualifications
* Master's degree in business administration, logistics, supply chain management or a related field.
* Experience in international transportation and logistics management.
Language skills
* Fluency in English (oral and written).
Computer Literacy
* Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint, and experience with transportation management software.
Work Environment:
* Office-based with frequent travel to branch, ports, and client sites as needed.
* Fast-paced environment requiring adaptability and multitasking.

For this position, the expected base pay is: $78,000 - $117,500/ Annual. Actual base compensation will be determined based on various factors including job-related knowledge, skills, experience, and other objective business considerations.
