SUMMARY: Sorts incoming mail for distribution and dispatches outgoing mail by performing the following duties. Assists departments and branches with processing mail and schedules courier service in the most efficient and expeditious way possible. Provides superior customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties and special projects may be assigned.

  • Scans incoming letters and packages from vendors such as UPS, USPS, FedEx, and DHL into tracking system and confirms the items received to those scanned into the bank's system. Obtains bank customer's signatures upon delivery.
  • Sorts mail according to destination and type such as returned letters, adjustments, bills, orders, and payments.
  • Determines destination of letters and packages with insufficient or incorrect addresses. Determines appropriate and specific individuals to receive certified mail, checks, etc. that are received without sufficient addressee information. Information is scanned into the software to document the disposition of the letter or package.
  • Distributes and collects mail through multiple corporate center daily runs. Examines and sorts incoming and outgoing mail by hand.
  • Processes Certified Mail according to established procedures to ensure appropriate audit trail.
  • Maintains integrity of scanning system as appropriate to avoid malfunctions.
  • Monitors the Inbox for on-call courier service requested by branches and internal departments and dispatches the courier.
  • Checks Mailroom Inbox for questions, issues, etc. and dispatches appropriate solution.
  • Processes shipping through express courier for Corporate Center departments as needed.
  • Prepares and sends out express courier and regular courier supply orders to branches.
  • Delivers supplies from corporate office supply and toner cartridge vendors.
  • Returns Corporate Center toners for recycling.
  • Assists branches and internal departments with questions, issue resolution and research regarding mail and courier services.
  • Escalates customer, vendor and non-compliance issues to Mailroom and Courier Services Manager.
  • Interfaces with Corporate Procurement and user departments such as IT or Marketing for efficient processing of large orders for equipment, brochures, etc.
  • Provides research and is liaison between bank staff, Mailroom vendors and business partners.
  • Suggests and may document process, procedures and customer service improvements as directed by Mailroom Manager.
  • Performs tasks and participates in projects in support of the bank and Operations Department goals for efficiency.
  • Attends seminars and training as directed by Mailroom Manager.
  • Additional duties as assigned by Manager.
  • Adheres to and complies with applicable, federal and state laws, regulations and guidance, including those related to anti-money laundering (i.e. Bank Secrecy Act, US PATRIOT Act, etc.).
  • Adheres to Bank policies and procedures and completes required training.
  • Identifies and reports suspicious activity.

EDUCATION
HS Diploma or general education degree (GED) required
EXPERIENCE

  • < 1 Year related experience and/or trainingrequired
