A Brief Overview
The Division of Protective Immunity is seeking a highly motivated and experienced Resource Coordinator to support day-to-day administrative activities for a team of six faculty and their research labs. This role reports to the Division Chief and functions autonomously in a research setting and supports the leadership team on strategic planning, service contract management, grant submissions, expense reconciliation and managing multiple calendars. The Resource Coordinator must work independently, work on several projects at a time, meet deadlines, maintain confidentiality of information and track and manage multiple budgets.

What you will do

  • Serve as the main point of contact and as a liaison for research activities and projects.
  • Organize, monitor and assist with the review, editing and submission of documentation including grants, manuscripts, galleys, proofs, articles, publications and presentations.
  • Manage the maintenance and improvement of research protocols and processes.
  • Streamline and track processes for ordering division supplies, submit purchase orders, partner with supply chain to source consumables.
  • Assist with the onboarding of research staff, students/trainees and interns.
  • Organize and assist with financial functions including budgets, reimbursements, invoices, expenses, purchase orders, renewals, funding and financial reports.
  • Maintain other support pages, biosketches/Faculty Expertise Database (FEDS) and list of publications for individual faculty members as requested
  • Maintain program metrics and related tools and regularly reports results.
  • Coordinate information collection, compilation and dissemination as required.
  • Assist in the preparation and coordination for meetings, interviews, committees, conferences and calendars including schedules, travel, agendas and minutes.
  • Prepare presentations, letters, reports, memoranda, and related materials.
  • Assist in message creation and development including website content, fact sheets, correspondences, emails, lectures, social media posts and other formats.
  • Track and manage materials and inventory, and coordinate supply purchasing.
  • Other duties and administrative support projects as needed.

Education Qualifications

  • High School Diploma / GED Required
  • Bachelor's Degree Preferred

Experience Qualifications

  • At least five (5) years of research, coordination or administrative experience Required
  • At least seven (7) years of research, coordination or administrative experience Preferred
  • At least five (5) years of experience in a healthcare related environment Preferred
