Posting Summary
Rutgers University-Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Senior Program Coordinator Supervisor. Reporting to the Associate Dean, the Senior Program Coordinator manages faculty appointment processes for the Dean's Office in the School of Arts and Sciences-Newark.
This position is responsible for and not limited to the following.

  • Overseeing and supporting recruitment, hiring, appointment, onboarding, position management, and labor and employee relations for various academic positions, including Lecturers, Teaching and Graduate Assistant Assistants, and Coadjutants.
  • Recommending, facilitating, and supporting process, database, and system enhancements, ensuring compliance with the collective bargaining agreements; developing and enhancing professional development and other resources; approving appointments; and coordinating the generation of appointment letters.
  • Recommending, implementing, managing, and supporting strategies and solutions to resolve problems, organizing and streamlining processes, and/or increasing opportunities with goals of both immediate and long-term impact.
  • Working closely, collaboratively, confidentially, and effectively with Dean's Office leadership and personnel, departmental leadership and personnel, and other University offices and personnel to ensure effective and efficient performance and exemplary stakeholder support and to contribute to SASN being a model across the University.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of program design and execution, coordination, organization, facilitation, and report analysis.
  • Requires a minimum of two years of relevant experience in a program coordination or administrative function.

  • Must have superior initiative, drive, and attention to detail; be comfortable utilizing technology to improve processes and be committed to continuous improvement.

  • Position regularly uses MS Office Suite, Cornerstone, SciQuest (RU Marketplace), SASN appointments system, ROCS, PARS, HCM, EMS, OneSource, Box, OneDrive, SharePoint, Course Scheduling System, E-Verify, Grad Portal, Adobe products, and knows or will learn any and all systems RU uses for personnel appointments, recruitment, payroll, faculty affairs, expense reimbursement, budgeting and accounting, absence reporting, time keeping, training, recruitment, course scheduling, records management, event management, website maintenance and updates, and knows or will learn all the equipment, software, and specialized materials needed to support the effective and efficient performance of this position.
