UI Health is seeking a Medical Office Associate to join our MSHC -WIC Office. Under general supervision, the Medical Office Associate performs routine scheduling, (pre)registration, charge entry, and resolves complex customer service complaints within established parameters, and consults with supervisor as questions arise for Mile Square Health Center (MSHC) or the Women, Infants, and Children (WIC) Office. In addition, the Medical Office Associate functions as a healthcare advocate performing various patient care activities and also performs outreach/education in community settings.

Duties & Responsibilities
  • Schedule appointments for both new and established patients; enter necessary patient/guarantor data information accurately and efficiently in databases; document and verify patient income, etc.
  • Communicate changes that impact patient appointments and reschedule patients as necessary; provide reminder calls for patient appointments.
  • Manage initial call intake for MSHC WIC Office; and route calls and messages to appropriate individuals/departments for resolution.
  • Respond to inquiries from clients to provide or clarify information on departmental services, policies, and procedures.
  • Collaborate with other state WIC offices to ensure continuity of services; provide referrals and outreach to other appropriate community services and agencies.
  • Draft letters and documents on behalf of patients (i.e., verification appointment letters) and the WIC Office.
  • Advocate and promote breastfeeding education; refer patients to support staff as needed.
  • Participate in cross-functional continuous quality improvement and corporate compliance teams; consult with related departments to coordinate seamless access to services.
  • Receive, log, and appropriately route complaints to management in the event a customer service issue cannot be resolved.
  • Maintain files for the WIC office; conduct inventory and order supplies; attend conferences, workshops, seminars, and other WIC functions on behalf of the WIC Office at MSHC.
  • Host, participate, coordinate, and sponsor community functions to help raise awareness of Mile Square Health Center programs (i.e., school report card pick-up, health education sessions, etc.)
  • Provide educational information and outreach to community residents and assist them with making decisions about health lifestyles and healthcare needs.
  • Schedule patient appointments via the practice management system or other system as indicated.
  • Work with staff and community residents to assess their community for strengths, problems, and concerns relative to healthcare (i.e., conducting surveys).
  • Identify and assist in establishing services needed within the community.
  • Liaison between the institution or agency and the individuals served; refer patients to support services when needed.
  • Perform other duties and/or projects as assigned.
  • Perform other related duties and participate in special projects as assigned.


Minimum Required Qualifications

  1. High school diploma or equivalent.
  2. Any one or any combination totaling one (1) year (12 months), from the categories below:
    1. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
    2. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
    3. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
Preferred Qualifications
  • Ability to work extended hours as needed.
  • Excellent communication skills.
  • Previous or current WIC experience.
