Description:

Manages business operations in the Offices of Curricular Affairs (OCA) OCA and occasionally in the Office of Student Affairs (OSA) by providing support in budget and finance activities. Assists with personnel functions for the office including hiring and the development and modification of student schedules and staff/leadership work schedules and calendars. Oversees COM facilities, room reservation requests, and any associated procedures as they relate to OCA priorities.

Duties & Responsibilities:

  • Financial support for OCA including purchasing and compiling budget, administrative, and other reports/data, while ensuring compliance with government, industry, or institutional regulatory guidelines relative to the business and/or fiscal operations; Functions as liaison to local business and campus-wide fiscal operations offices. Manages use of corporate P-Card and T-Cards for supply inventory in OCA, arranging catering, and parking for student and faculty events; Registers faculty and staff for conferences including arranging airfare, transportation and lodging.
  • Assists deans and director in budget development, strategic fiscal planning, business correspondence, calendaring, and creating fiscal reports as directed; Calendar development and refinement for team personnel and student programs.
  • Works with the Director of Administrative Operations in compiling financial data related to fiscal, business, and related operations. Maintains and manages records for business and/or fiscal operations; assists in the review, preparation, and/or management of contracts.
  • Assists with the development and implementation of student schedules, operational policies, and procedures relative to the business and/or fiscal operations of our unit; Manages room reservations, room reservation procedures by liaising with students, the COM facilities team, and OCA/OSA coordinators and staff; Collaborates with college facilities team by communicating building concerns and facilitating changes in OCA office spaces and furniture.
  • Assists with personnel functions such as interviews, staff selection, training, supervising, evaluating performance, and developing staff, work schedules, and assignments; Responsible for the hiring and training of office Grad Hourly staff.
  • Receives student and faculty visitors in the OCA; Handles and distributes OCA mail as needed; Performs other related duties and participates in special projects as assigned including student orientations and staff events.


  • Minimum Qualifications Required:

    1. A. Bachelor's degree in accountancy, business administration, management, or a closely related field.

    OR

    B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

    OR

    C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
    • 30 semester hours equals one (1) year (12 months)
    • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)

    Preferred Qualifications:

    • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources; Knowledge of administrative and clerical procedures and systems such as, managing files and records, data entry, designing forms, and other office procedures and terminology.
    • Familiarity with Microsoft Word, Excel, Outlook email programs and Zoom.
    • Ability to work independently and effectively organize and prioritize multiple tasks; Ability to identify complex problems and review related information to develop and evaluate options and implement solutions; Ability to deal effectively with students, faculty and staff; skill in oral and written communications; ability to work independently and exercise judgment; ability to handle confidential documents in an appropriate manner; ability to walk up to four city blocks; ability to lift 25-30 lbs.
