Position Overview:
The Records & Registration Office at Northampton Community College is seeking a detail-oriented, customer-focused, and proactive Administrative Assistant to provide essential operational and administrative support in a fast-paced, dynamic environment. The ideal candidate will be a self-starter with strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. Exceptional interpersonal, communication, and customer service skills are required, along with a commitment to supporting students, faculty, and staff in a professional and courteous manner.

Work Schedule:
This is a part-time position, requiring approximately 25 hours per week. The working schedule includes 4-5 days a week, within the office operating hours. Current operating hours are:

  • Monday, Thursday, Friday: 8:00 AM - 5:00 PM

  • Tuesday, Wednesday: 8:00 AM - 6:00 PM

Key Responsibilities:

  • Process FERPA and parent financial liability forms for all high school dual enrollment students.

  • Maintain academic records for the college's high school dual enrollment population, coordinating with the NCC's College Connections Specialists as needed.

  • Provide customer service through the One Stop Center, phone, and email, ensuring timely and effective responses to inquiries.

  • Assist with daily filing in addition to the creation, maintenance, and retention of academic records in accordance with institutional policies.

  • Assist with daily Records & Registration operations, ensuring the accurate and timely processing of add/drop/withdraw forms, enrollment and degree verifications, change of major requests, and updates to student personal information.

  • Ensure the accuracy of student records, registration, and demographic data within the College's Student Information System (SIS), following academic policies and FERPA regulations.

  • Work autonomously with minimal supervision, demonstrating discretion, confidentiality, and sound judgment in handling sensitive information.

  • Offer inclusive and responsive support to faculty, staff, students, and external stakeholders.

  • Perform other related administrative duties as assigned.

Minimum Qualifications:

  • High school diploma or GED required; an Associate's degree or higher is preferred.

  • Significant clerical experience, with preference for experience in a higher education setting.

  • Strong ability to prepare and maintain accurate computerized records and systems.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and a capacity to quickly adapt to new technology and software systems.

  • Strong organizational, communication, and interpersonal skills, with a commitment to customer service excellence.

  • Ability to maintain confidentiality, handle sensitive information, and exercise sound judgment in all tasks.

  • Ability to work independently and as part of a team in a collaborative, fast-paced environment.

Preferred Qualifications:

  • Prior experience with student information systems (SIS) or similar software.

  • Experience working in higher education or a similar administrative role.

  • Experience managing sensitive documentation while ensuring the confidentiality of records is maintained.
