Qualifications:

  • High school diploma or equivalent; associate degree or equivalent combination of education and relevant experience preferred.
  • Minimum of 3 years of experience in an administrative assistant role, preferably in a sales or marketing environment.
  • Demonstrated ability to work effectively in a team-oriented environment, collaborating with colleagues to achieve common goals.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and prioritize tasks under tight deadlines.
  • Excellent written and verbal communication skills, with the ability to follow written and oral instructions accurately.
  • Proficient in Microsoft Office suite, particularly Word, Excel, and PowerPoint; experience with JD Edwards and Coupa a plus
  • Positive and professional demeanor with the ability to interact confidently with individuals at all levels of the organization.
  • Exceptional time management skills and attention to detail, with a commitment to maintaining confidentiality in handling sensitive information.
  • Adaptability and willingness to work in a fast-paced environment, responding effectively to changing priorities and demands.

Pay Disclosure:

"The pay for this position starts at $20.00 -$25.00 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered."

About the Role:

The Administrative Assistant II .This position involves managing calendars, handling correspondence, data entry, expense management, and various administrative tasks to ensure the efficient operation of the corporate services department.

Essential Job Responsibilities:

  • Manage calendars for corporate services, including scheduling meetings, conference calls, and coordinating conference room bookings.
  • Conduct data entry and management tasks
  • Manage purchase orders
  • Assist with supply management and inventory, ensuring adequate stock levels for office operations
  • Monthly chargebacks
  • Maintain contact lists for team members and manage purchase orders and check requests.
  • Placing orders in COUPA for office supplies, creating purchase orders, journal entry posting in JD Edwards
  • Review and verify invoices for accuracy before processing
  • Keep capital projects up to date
  • Finalize records at the end of the month, accruals, corporate services, various contractor invoices
