Position Summary

The Diversity and Inclusion Programs Coordinator supports the Office of Excellence in Diversity & Inclusion (OEDI) at Chicago Medical School (CMS) by developing, coordinating, and executing grant-funded programs and initiatives that promote diversity, equity, and inclusion. This role involves managing CMS Diversity and Outreach programs, providing administrative and logistical support and fostering connections between CMS and external partners.

The Coordinator ensures programs align with institutional goals and supports OEDI faculty and staff in advancing excellence, equity and inclusion within the CMS community. Key responsibilities include program execution, grant management, and operational support to drive impactful diversity and inclusion efforts.

Work Schedule Expectations:

This role requires on-campus presence at least 50% of the workweek to effectively support faculty, students, and program operations. Additionally, the position involves attendance at events and activities that may be scheduled on Saturdays. Flexibility and availability during these times are essential to meet the needs of the role.

We at Rosalind Franklin University of Medicine and Science (RFUMS), the only graduate health Sciences University in the United States named after a woman scientist, welcome applications for Coordinator, Diversity and Inclusions Programs position. RFUMS places unique emphasis on interprofessional training and practice and is comprised of six postgraduate health professions schools and colleges. Essential Duties & Responsibilities

Program Coordination and Execution

  • Collaborate with the Assistant Dean of Diversity and Inclusion to plan and execute programming, including special events, speaker engagements, journal clubs, community-building activities, pipeline programs, Aequitas Health Equity Honor Society, and spotlight campaigns.
  • Lead and coordinate grant-funded programs such as the Mini Medical Schools, Parent/Hero Academy, and related outreach initiatives.
  • Manage planning, logistics, scheduling, and communications with student leaders, community partners, funders, and stakeholders.
  • Recruit and coordinate student volunteers and speakers for events and outreach programs.
  • Plan and execute field trips, ceremonies, and other program sessions/events.

Grant Development and Management

  • Assist with grant development, including budgeting, tracking milestones, and organizing receipts/invoices.
  • Prepare periodic reports and manage deliverables for grant funders and internal stakeholders.
  • Collect and analyze program outcome data to evaluate the impact of initiatives.

Mentoring Programs Support

  • Support CMS mentoring programs for URiM (UnderRepresented students in Medicine) such as ISEP (for first and second year medical students) and DOCS (for third and fourth year medical students) by managing applications, data entry, and planning meetings, discussions, and events.
  • Maintain resources for URiM students and manage confidential student performance data.
  • Coordinate partnerships with local organizations to expand mentorship opportunities for medical students.

Administrative Operations

  • Organize and schedule regular meetings (e.g., OEDI team, Diversity Advisory Council, monthly meeting with the Dean, Aequitas Honor Society).
  • Manage financial operations, including budget tracking, expenditure reconciliation, and reimbursements.
  • Oversee departmental communications, including newsletters, calendars, and marketing materials.
  • Maintain records of OEDI activities and prepare reports, presentations, and evaluations for stakeholders.
  • Coordinate travel, lodging, and inventory management for team operations.

Additional Responsibilities

  • Participate in RFU/CMS committees relevant to the position.
  • Handle other duties as assigned to support OEDI goals and operations.

This role requires a proactive individual skilled in project coordination, community engagement, and managing diverse stakeholders to support institutional diversity and inclusion initiatives effectively.

Required Education & Experience

  • Bachelor's degree or equivalent experience.
  • Minimum of five years in an administrative role.
  • Experience in customer or student service.
  • Successful completion of a background check.
  • Strong problem-solving and troubleshooting skills.
  • Effective written and oral communication skills.
  • Proven ability to multi-task in a fast-paced environment.
  • Capability to work independently with minimal supervision and as part of a team.
  • Strong organizational skills with attention to detail and the ability to meet deadlines.

Required Knowledge, Skills, & Abilities

  • Proficiency with technology, including Zoom, MS Office, and Google Suite.

  • Exceptional written, verbal, and interpersonal communication skills.
  • Ability to engage and collaborate effectively with diverse constituencies.
  • Strong interpersonal and leadership skills for effective teamwork and partnership building.
