Position Summary |
The Student Services and Facilities Coordinator is a seconded employee that resides year-round in Cortona, Italy and provides administrative oversight and general support to the permanent staff (the Director, Associate Director, and Business Manager), in program planning and implementation, and the maintenance of facilities and studios, while concurrently administering student housing, dining, and support services. The position requires full-time residence in Cortona and frequent evening and weekend work.
This position is a limited 1-year term appointment, expected to end January 25, 2026. The position may be extended beyond the initial term, contingent upon continued funding. |
Knowledge, Skills, Abilities and/or Competencies |
Bilingual Communication: Excellent verbal and written skills in Italian and English. Cultural Experience: Familiar with both Italian and American contexts and cultures. Organizational Skills: Highly organized with strong attention to detail and record-keeping. Independent Worker: Self-starter who can manage projects independently. Multitasking: Capable of handling multiple tasks under stress. Emergency Response: Calm and rational in critical situations. Tech Proficiency: Skilled with Apple computers, Microsoft Office, and Adobe Acrobat; familiarity with Adobe Creative Cloud is a plus.

Student Support Services:
- Monitor first aid stations
- Assist students with medical issues, and accompany students to appointments
- Serve as on-call services for student emergencies, communicate with EMTs, and provide necessary documents as needed
- Assist student's payment of medical bills and file health insurance claims
- Facilitate student engagement by providing student cultural support by answering questions about Italian culture and offering practical information
- Coordinate package delivery for students and assist with lost and stolen items
- Encourage student participation in local activities and organize program activities geared toward student engagement
- Manage student laundry machines token distribution and student card keys
- Respond to student requests for assistance, enforce dormitory rules, and manage supply requests for the dormitory and student kitchen
- Create and distribute restaurant vouchers to students
- Support students with IT and access issues related to UGA MyID and Adobe Creative Cloud

Center Management:
- Schedule programming and maintain program schedules and calendars for both students and faculty
- Support programming during crises or emergencies while maintaining confidentiality
- Support documentation process for art exports
- Communicate information to participants via email, text, and announcements
- Manage orientation
- Manage arrival logistics, and program logistical planning
- Oversee and maintain excursion schedules and technology
- Attend and participate in various meetings, including pre-departure, arrival orientation
- Manage event documentation and manage social media presence
- Provide support to end-of-semester art exhibitions in Cortona and reunion exhibitions in Athens, GA
- Design and implement communications, and educate and enforce UGA Cortona international center policies and procedures to faculty and students
- Support the Director and Associate Director with record-keeping, document creation, translations, and expense accounting
- Attend meetings, conferences, workshops, and serves on committees as assigned
- Represents UGA Cortona at community events.

Dorm and Dining Management:
- Train and supervise Center Assistants to ensure effective communication in dormitories, manage daily responsibilities of Center Assistants, and housekeeping staff to bridge the gap between housekeepers and students
- Report dormitory and student issues to Associate Director
- Manage dorm room configurations, roommate assignments, and mediate conflicts
- Maintain and communicate dietary restrictions to food service providers
- Create dining schedules and assist with billing
- Liaise with dining service providers to ensure smooth operations

Oversee Studio and Classroom Needs:
- Report studio issues to the Associate Director, oversee studio inventory, and contribute to task-lists and record-keeping needs and requirements
- Perform basic repairs and machine maintenance in studios, liaise with service providers and suppliers for maintenance and repair needs, and researching sources for studio materials, tools, machines, and furniture
- Receive supply orders and distribute supplies to studios, and assist with lab fee accounting and budget management
- Provide on-call support to Faculty with studio issues, A/V assistance, and computer maintenance

Facilities Maintenance:
- Perform routine checks of heating, electric, fire safety, security, and internet systems
- Task management and record-keeping related to facilities
- Maintain general facility safety and ensure compliance with local regulations
- Provide emergency support (on-call for facility emergencies and performing basic repairs)
- Liaise with service providers, repair technicians, and other contracted workers
- Schedule city garbage pickups, compost and recycling systems, septic systems, and yard waste disposal
- Oversee the laundry machines; liaise with repair providers, as needed
- Oversee the card-key access system, provide grounds keeping, and supervise the gardener Support and manage the annual grape and olive harvests
- Periodically, provide tours of the property for guests
