Description

As the Administrative Offer, you will support the Department of Emergency Preparedness at UCLA Health by providing comprehensive administrative and project management assistance. Working across multiple facilities, you'll manage complex calendars, coordinate travel, prepare reports and presentations, and maintain key databases. You'll also assist with budget oversight, disaster kit management, grant applications, and regulatory compliance.

As a liaison between the Director, staff, and external partners, you'll handle communication with clarity and diplomacy, ensuring seamless operations. This role offers the opportunity to contribute to UCLA Health's readiness and resilience in safety and emergency preparedness initiatives.




Salary Range: $28.30-54.74 per hour

Qualifications
  • 2+ years work experience in project management or administrative project support (required)
  • Demonstrated skill in providing excellent customer service (required)
  • Experience in analyzing data and preparing administrative reports (required)
  • Experience in preparing and managing budgets with multiple funding sources (required)
  • Experience with grant management (preferred)
  • Experience working in a healthcare setting (preferred)
  • Knowledge of emergency management or disaster planning principles (preferred)
  • Strong organizational and time-management skills to prioritize tasks and meet deadlines in a dynamic environment.
  • Proven ability to work independently and manage assignments with minimal supervision.
  • Excellent writing and editing skills for preparing professional business correspondence, reports, and agendas.
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Visio, Access) and ability to adapt to new software tools.
  • Skilled in data analysis and creating accurate spreadsheets, charts, and graphs for reporting purposes.
  • Strong interpersonal skills to establish and maintain effective working relationships.
  • Familiarity with emergency management standards, grant management, and University IT systems (EMPAC, Bruinbuy, QDB, EPSI, Concur).
  • Knowledge of office equipment (VOIP phones, copiers, AV tools) and ability to process University forms (travel reports, purchase requests, etc.).
