We are looking for an Administrative Assistant that has an aptitude for excellence. This role will provide administrative support to the Koch Real Estate Investment leadership team, and create and maintain our office SOPs, while ensuring strong communication and a high level of organizational effectiveness. This role will require you to be resourceful and autonomous when taking on new tasks and projects relying on problem-solving skills to make it all work! You will frequently find yourself in the center of everything that happens on the team. This position is extremely pivotal to the success of a well-run, efficient, productive and happy team.

This opportunity is an onsite role at our office based in Dallas, Texas

Our Team

KREI is active in the private and public markets and makes financial investments throughout the capital stack of real estate assets and operating companies.

What You Will Do
* Provide administrative support to (3) Managing Directors, ensuring efficient day-to-day operations
* Coordinate domestic and international travel (flight, hotel, car rentals, etc.) and creating accurate expense reports in a timely manner
* Organize visits for internal and external people
* Greet visitors and providing general administrative support
* Receive and sort incoming mail and deliveries, manage outgoing mail
* Organize onboarding programs for new employees and assist in the onboarding process for new hires
* Assist with in-house or off-site events and conferences
* Follow office maintenance SOPs to ensure the office is tidy, well-stocked, and running smoothly
* Manage the upkeep of office facilities and coordinate with vendors and service providers for repairs and maintenance. Ensure that any issues with office equipment are promptly addressed.
* Build and maintain good business relationships across the organization and with external stakeholders

Who You Are (Basic Qualifications)
* Can-do attitude!
* Excellent oral and written communication skills and attention to detail
* Professional presence with the ability to build credibility directly with leadership
* Proven experience in an administrative role for a real estate or investment firm
* Working experience with Microsoft Office Software (Excel, Outlook, Teams, Word, PowerPoint)
* Strong organization skills with experience multi-tasking, prioritizing, and having a high attention to details.

* Executive level administrative experience
* Problem solving skills and ability to think through next steps with little guidance
* Technically savvy and able to trouble shoot common IT issues
* Experience managing multiple projects simultaneously and push them to the finish line
* Strong organizational and planning skills in a fast-paced environment
