Summary:
Under general supervision provides receptionist and clerical duties to support a physician practice. Answers telephone schedule patient appointments prepare and maintain records. Receives patients visitors and families into area.

Responsibilities:
Acts as receptionist for physician practice. Performs variety of clerical duties to answer telephone take and relay messages schedule patient appointments receive and greet patients and families and prepare and maintain manual and computerized records and reports.

Using multiline telephone responds to telephone callers in courteous and prompt manner; answers questions regarding practice operations and schedules. Relays callers as appropriate and in accordance with procedures. Takes and relays messages as appropriate including notice of appointment cancellation. Schedules patient appointments and updates schedule accordingly; notifies providers in timely manner of any schedule change. Updates computerized master schedules and reschedules cancellations in accordance with practice protocols. Identifies scheduling conflicts and alerts appropriate personnel. Confirms patient appointments by telephone or written communication. Books same-day/urgent appointments according to established protocols.

Reviews daily patient schedule to anticipate medical record needs. Ensures record is pulled and available prior to patient arrival. May review file to ensure completeness. May follow up on missing documents and test results at direction of others.

Greets visitors patients and families upon arrival. Determines nature of visit; notified individual of same. Collects patient's written and oral information to prepare update and complete patient records including demographic information third party coverage history of illness symptoms patient questionnaires and the like. Collects co-pays or fees at time of arrival as appropriate. Contacts insurance companies to identify or verify applicable fees/deductibles/co-insurance etc. Operates personal computer to initiate/update records including patient registration charge entry cash posting reconciliation reports etc. Answers routine questions regarding practice operations provider schedules health insurance co-pay fees; refers other issues or concerns to physician practice manager for resolution. Advises Medical Assistant of patient arrival. May direct or accompany patient to examination room as requested.

Intervenes for patient who appears unusually ill uncomfortable or angry by notifying appropriate department staff or implements emergency paging system according to protocols. Alerts Physician Practice Manager or nurse of disruptive situations.

Coordinates follow-up appointment schedules including referrals to specialists scheduling tests and other procedures with other providers as directed by physician. Resolves scheduling conflicts as appropriate and within level of authority. Completes referral forms when appropriate. Assists patient with making appointments if needed and at physician's request. Completes lab and x-ray forms.

Prepares and maintains various records and reports. Ensures timely filing of laboratory and x-ray reports correspondence prescriptions and completed forms into the patient's record. Maintains medical records in compliance with audit standards which may include responsibility to obtain patient identification data reason for visit and written consent for treatment. May record information into medical record as directed such as dates/signs entries known diagnosis drug allergies medications and the like. Files medical records according to established procedures.

Completes Worker's Compensation disability and third party payor forms as directed. Coordinates requests for documentation as received from attorneys courts and physicians. Ensures request for information is authorized; collects information and ensures is complete before forwarding to requesting agency or person. Calculates and initiates invoice for appropriate fees for providing information.

May assume responsibility for maintaining inventory of office supplies; reordering as appropriate and within level of authority.

Sorts and distributes departmental correspondence i.e. x-ray reports and mail.

Reconciles cash collections on daily basis; reports discrepancies to manager immediately.

May convey prescription renewal information to pharmacies per practitioner's direction.

May prepare transcribe and distribute medical reports correspondence and memorandums using word-processing software.

Performs other related duties appropriate to training and experience as assigned by physician practice administrator.

Other information:
BASIC KNOWLEDGE:

High school level of knowledge including ability to use personal computer to schedule appointments update patient information and prepare routine forms memos and correspondence.

EXPERIENCE:

Three to six months on-the-job experience to become familiar with job routine.
